An exciting opportunity has arisen to appoint a part-time 22.5 hours per week ED Support Medical Secretary to join the team at Weston General Hospital.  We are looking for an enthusiastic and dynamic candidate who thrives in a busy and supportive working environment. 

Working pattern: Monday, Tuesday and Wednesday however, alternative days would be considered. 

The post holder will ideally have a range of secretarial and administrative experience, preferably in a hospital environment, though other administration experience will be valued  in this role.

The post holder should enjoy working in a busy environment with the support of an appreciative and nurturing team. The candidate should be a good team player and recognise their crucial role in support of a multidisciplinary clinical team. They will need to be able to manage and prioritise workload appropriately and with support.

Applicants should have excellent organisational, communication and interpersonal skills with a courteous and efficient telephone manner. The ability to use initiative and seek advice and support as required is essential to this role.

This post will provide the applicant with an opportunity to gain additional valuable administration experience together with the opportunity to develop additional skills and undertake additional training and responsibilities as appropriate/desired.

Prif ddyletswyddau'r swydd

The post holder will need to have a good working knowledge of Microsoft Packages such as Word, Excel and Outlook and databases.

  • To liaise with and act as a point of contact for clinical and non-clinical staff via telephone and email
  • To act as a point of contact for patients, relatives and carers. The post holder should be polite and empathetic to the patient’s needs at all times and be able to communicate effectively when dealing with difficult situations/conversations
  • Escalate patient queries, capacity problems and general issues to the role’s line manager or relevant clinical staff as appropriate
  • Checking and sorting investigation reports and passing information on to clinical team as required
  • Ensuring speciality specific documentation is completed and filed appropriately
  • To carry out associated clerical duties, for example maintaining accurate filing systems, receiving post, diary management.
  • To gain a working understanding of other specialties in order to provide cover for other secretaries in times of sickness or annual leave and undertake any duties deemed reasonable by your line manager.
