We are looking for a highly motivated and enthusiastic administrator to join our friendly admin team, who provide administrative support to the North Bristol Assessment & Recovery Team.

The role will involve working with the Community Mental Health Team based in North Bristol, a vibrant base with a gym and a café in the heart of Southmead. Therefore, it is important that you have an interest in working in mental health services and empathy with people who experience mental health problems.

You will need a degree of resilience, as you may be the first point of contact for service users and carers who may be distressed, though full support is given by AWP through peer support, regular formal supervision and access to the Employee Assist programme.

The role will be based at The Greenway Centre in Southmead, Bristol.

Hours of work are Monday – Friday 9.00 – 5.00pm, mostly office based, but some home working can be offered.

You will possess a high standard of secretarial and administrative skills, have a good working knowledge of all Microsoft Office systems, and be willing to undertake training in order to use other software packages, including our electronic patient record system (RiO).

The role will involve taking calls from service users, carers, GPs and other external agencies, as well as liaising with clinical teams and staff, so good communication skills both written and verbal are essential.

You will be responsible for arranging appointments, typing letters, processing referrals, recording service users information accurately on the electronic records system (RiO)

You will be required to produce documents, reports and agendas, including taking minutes at a variety of meetings.

You will be working as part of a busy administrative team and will need to be able to prioritise and organise your own workload, as well as sharing admin work streams, to ensure effective and efficient support to the clinical team. 

The role is varied, and requires the successful candidates to be able to adapt to constant changes in workload, in order to meet the demands of the clinical services.

Liaise with a wide range of stakeholders, both internal to the organisation and external, including:
• Medical Staff
• Multidisciplinary Teams (Community or Inpatient)
• Services Users and Carers 
• Health and Social Care teams 
• Third sector/voluntary agencies 
• Community groups and local authority provision 
• Other statutory agencies e.g. Police, Ministry of Justice etc. 

Day to day task involve:

  • Taking accurate messages and passing them on in a timely manner.
  • Uploading and recording information on RiO (Patient Electronic file).
  • Typing appointment & clinical letters and posting them, ensuring a copy is uploaded to RiO.
  • Taking minutes of team meetings. Circulating minutes to the clinical team and keeping copies on the Team shared drive.
  • Printing off information/ leaflets and putting packs together for the clinical staff.
  • And any other general administrative task.

• NVQ level 3 in Business & Administration.

  • RSA 3/NVQ3 or equivalent level of knowledge and experience
  • Proficient IT skills including Word, Excel, Internet
  • Excellent communication skills, both verbal and written
