Job overview

This role is to support the Gynaecology Department in all administrative tasks. This is a varied role which is centred around booking and moving appointments for patients, answering telephone and e-mail queries, preparing notes for clinics and resolving general administrative queries. The postholder will be required to cover the reception desk at times, being the first point of contact for patients when arriving and waiting for their appointment in the Department. The postholder may also be required to support the secretarial team by typing letters.

 

The postholder’s duties centre around providing an empathetic, professional and friendly reception service to all patients who are attending an appointment in the Department. The postholder will also need to provide effective administration duties working in a busy environment and be able to provide a comprehensive reception and administrative service in support of the clinical staff involved in patient care.

Main duties of the job

•    To receive patients/visitors to the Department in a friendly and courteous manner, ensuring they are appropriately informed. 

•    To carry out a range of office duties on a daily basis. This will include the sending and receipt of e-mails, answering patient queries over the telephone, booking appointments from referral letters, filing and other regular tasks. 

•    Respond to telephone enquiries, e-mails and answerphone messages from GPs, patients and their families and trust staff, acting as appropriate in a timely, polite and helpful manner. 

•    To ensure case notes are available and prepared in accordance with laid down procedures for designated outpatient clinics. 

•    Scanning at attaching e-referrals into patients’ individual electronic records. 

•    To communicate professionally with GPs/Practice Managers/Practice staff and all hospital staff with regards to the service, referrals and appointments systems. 

•    To undertake audio transcription and typing of clinic and miscellaneous digital dictation as directed by the Department.

Qualifications & Training

Essential criteria
  • GCSE Grade C or above in English and Maths (or equivalent).
Desirable criteria
  • Educated to A-Level (or equivalent) or equivalent experience.
  • IT skills qualification.
  • Secretarial or typing qualification.

Knowledge & Experience

Essential criteria
  • Previous experience of working in a customer or patient focused environment.
  • Experience working in an administrative or reception setting.
Desirable criteria
  • Experience working within the NHS of similar healthcare settings.
  • Experience of electronic patient administration systems.
  • Knowledge of medical terminology.

Specific Skills

Essential criteria
  • Computer literate – able to use Microsoft Office packages effectively.
