Job overview

The post holder will work autonomously and as part of a team, to provide a full and comprehensive PA service to Consultant Paediatrician(s) and/or other medical staff.  The role will cover all aspects of secretarial, administrative and organisational support.

Main duties of the job

·         Provide a full administrative and secretarial service to Consultant(s)/other medical staff.

·         Responsible for producing high quality, accurate text using equipment provided in accordance with defined timescales.

·         Compose routine self-generated correspondence, when appropriate. 

·         Act as first point of contact for telephone and email enquiries, screening calls and liaising appropriately;

·         Access various information systems for administrative details and update administrative notes when/if necessary.

·         Prepare agendas, take minutes and distribute notes of meetings, to include typing up of group discussions and interviews as necessary and recording and follow-up actions as required.

·         Maintain diary of medical staff as required, booking appointments and meetings on own initiative when/if necessary

·         Processing prescription requests/changes and liaising with GPS, Consultants and parents regarding this

·         Involvement in the recruitment /interview process of secretarial/clerical staff as required.

·         Training and supervising new staff, offering guidance and support

·         Sort and prioritise all incoming mail and e-mail, distributing as appropriate and in a timely manner

Qualifications

Essential criteria
  • • Able to demonstrate a good level of English Language and grammar commensurate with composing own letters/reports and ability to correct other correspondence as appropriate.
  • • RSA Stage 3 or equivalent qualification in word-processing.

Experience

Essential criteria
  • • Experience in administration duties and provision of secretarial support to Senior Managers/Directors or Health Care Professionals
  • • Demonstrable experience in dealing with the public and dealing with sensitive and confidential information.
  • • Experience of managing own workload
  • • Experience of working to tight deadlines
  • • Previous experience of using office/administration systems
  • • Experience of diary management, arranging complex meetings.
  • • Experience of composing correspondence for approval
  • • Experience in the use of medical terminology

Knowledge

Essential criteria
  • • Experience of Microsoft Office, including Outlook, Word, Excel and Powerpoint.
  • • Understanding of Confidentiality and Data Protection Act
  • • Willingness to take and use new skills which support service improvement.
