If you are looking for an exciting new chance to make a real difference, we have a fantastic opportunity for an individual to join the Powys Teaching Health Board Vaccination Bookings Team/Data Hub.

The post holder will operate in a fast-paced environment that is often unpredictable, being a first point of contact for the service and providing call centre and administrative support to the wider vaccination team. The successful post holder will be required to have customer service experience and must be IT literate with the ability to learn new systems and software packages quickly.

Main duties of the job

JOB SUMMARY 

The Administration Assistant will provide a comprehensive front desk/administrative support service to the department.  

This will include,

Acting as a first point of contact for the department.

Answering telephone calls, taking messages accurately.

Dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to the relevant departments/person, referring to others as appropriate.

Updating of electronic and paper-based systems, collating of information, mail distribution and logging etc.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Qualifications and/or Knowledge

Essential criteria
  • Educated to GCSE level or Literacy/Numeracy at L1 or equivalent
Desirable criteria
  • Knowledge of the Data Protection Act

Experience

Essential criteria
  • Experience of customer service / first point of contact
  • Proven proficiency in the use of IT software
  • Knowledge of office practices and able to establish new processes
Desirable criteria
  • Previous experience in an office

  • Ability to work as part of a team or as an individual
  • Ability to communicate cleary and effectively
  • Ability to be polite when dealing with difficult, impatient or upset people
