Job overview
The post holder will develop and implement administrative systems which will ensure the efficient and effective running of the Ward, allowing the Ward Managers to concentrate more fully on the clinical aspects of his/her job role. The post holder will also respond to enquiries from other ward staff.
Main duties of the job
The successful candidate will be expected to work closely with their ward managers, they will support their ward managers with a comprehensive range of day to day admin tasks such as staff recruitment both clinical and administrative, assisting with ward projects, arranging and attending meetings, taking of minutes , organizing staff training (both clinical and administration staff) This support allows the ward manger time to focus on their clinical duties, clinical team and patient flow through their wards.

Detailed job description and main responsibilities
- Representing ward staff or managers at appropriate meetings, reporting back accordingly.
- Manage the administrative process for the recruitment and orientation of new ward staff
- Keep accurate records of vacancies
- Establish and maintain professional working relationships with all staff
- Make changes to e rostering as required by the Ward Sister.
- Establishing good work relationships with external companies.
- Uploading information on trust intranet and internal shared drives as required
- Record and respond to all enquires and requests on behalf of ward managers, and personally act upon when appropriate.
- Meet & greet
- Provide secretarial support to the ward manager, preparing and keeping his/her diary
- Ensure all relevant paperwork is available for: ward meetings, HR meetings etc. Minute take and record action notes from a variety of meetings as required
- Ensure there is proper governance for all patient and ward documentation that complies with Trust policies and that it is adhered to
- Ensure there is a proper system for the collection and storage of Audit and other monitoring and sensitive information, both electronically and paper copies
- Organize all relevant meetings
- Prepare and type letters and reports as required
- Organize appointments and transport for staff when required
