Job overview

We are seeking to appoint a Patient Pathway Administrator to join our Sarcoma Administrative Team at the Nuffield Orthopaedic Centre. 

We are seeking to appoint a proactive, motivated individual who enjoys working in a busy environment within our friendly team in Oxford.  The post holder will provide an efficient and effective clinical administration service to the department, consultants, nurses and wider clinical team.  

Main duties of the job

The Patient Pathway Administrator will be responsible for providing and monitoring their administrative duties to ensure patients at the Nuffield Orthopaedic Centre are seen within their breach targets. They will be responsible for the upkeep of patient records and booking patients in for their Sarcoma appointments. The post holder will be expected to prioritise conflicting work demands and effective working with the clinical teams, the multi-disciplinary team and other internal departments to ensure continuity in achieving excellence in patient care, ensuring patient pathway is following the national guidelines and clinical priorities.

Detailed job description and main responsibilities

• Action day-to-day issues, ensuring resolution and escalating serious issues to management as appropriate.

• To  book target patients that have been discussed in the MDT / Radiology meetings in a timely manner.

  • To work alongside Radiology admin in co ordinating the smooth booking of biopsy patients.
  • To answer the telephone and respond to emails. 

• To support and monitor clinics and ensure they are cashed up in a timely fashion by using Revenue Cycle worklists and Trust available reporting tools.

• To liaise with other departments in the hospital i.e. diagnostic departments, Admissions,  PALS, supplies and Estates, as required.

• To support the monitoring of the department email and replying / actioning appropriately, escalating where required to senior management.

• The post holder has a general duty of care for their own health, safety and wellbeing and that of work colleagues, visitors and patients within the hospital, in the addition to the specific risk management of clinical governance accountabilities associated with the post.

• Observe the rules, policies, procedures, and standards of Oxford University Hospitals NHS Trust together with all relevant statutory and professional obligations.

• Observe and maintain strict confidentiality of personal information relating to patients and staff

• Responsible, with management support, for their own personal development and to actively contribute to the development of colleagues

Person specification

Education and Qualifications

Essential criteria
  • Good General level of education (eg 5 GCSE’s grade C or above or equivalent - NVQ level 2 etc)
  • RSA III Typing or equivalent
Desirable criteria
  • ECDL, MOS or other IT qualifications
  • Knowledge of healthcare IT systems such as EPR

Experience

Essential criteria
  • Experience in a cancer service
Desirable criteria
  • Worked in a NHS or clinical setting.
  • Diary Maintenance
  • Knowledge of medical terminology

Basic skills

Essential criteria
  • Be able to prioritise and organise your own and other staffs workload.
  • Be able to work independently and as part of a team
  • Flexible and Reliable approach to work with Good timekeeping skills
Desirable criteria
  • Acted in a supervisory capacity
