To act as the Emergency Department Supervisor to ensure the team provide a first-class service. Ensuring that the administration and coordination of the Trust’s and national targets are adhered to and executed to the highest standards. Liaise closely with Clinicians, Health Care professionals, managers, administrative staff both within and outside the organisation as well as patients and relatives.

Patient administration underpins the patient journey and supports clinical teams in delivering high quality patient care and can make a real difference to the patient experience.  The post holder has responsibility for the provision of a professional, comprehensive, and efficient administrative service, which is effectively delivered to all patients and members of the Department.  This will be through the delivery of a comprehensive administrative service

• To be responsible for the reception of patients, relatives, carers and ambulance staff
in a calm, professional and polite manner
• To accurately record and input full data/information into the Trust’s EPR system in a
timely manner.
• To provide excellent customer care that demonstrates a caring and responsive
approach to those attending the hospital.
• Act as a first point of call for patients, relatives and carers presenting to the
Emergency Department and provide guidance on what they can expect
• Collect personal and confidential information from patients or relatives ensuring tact
and empathy are employed when inputting presenting complaint and using both
computerised and paper based systems as appropriate.
• Use tact, diplomacy, understanding and compassion when communicating with
patients who may be distressed, hard of hearing or whose first language is not
English.
• To liaise with Ambulance and Police services and relevant departments within the
trust as necessary to ensure a smooth patient pathway.
• File departmental records and organised the culling of filed notes in accordance with
Trust guidelines. To support the collection of notes for Audit/Research as requested
by Team Coordinators/Senior Clinicians
• To contribute in own personal development, through attendance at mandatory
training courses and appraisal
• To ensure that information on overseas and private patients is entered accurately
onto EPR, to ensure appropriate charges are incurred

  • Act as an EPR super user and attend meetings accordingly to enable support of the administration team.
  • Assist the department in providing annual leave and sickness cover.
  • Respond to all enquiries in person or by telephone from other administrative staff both within the department and in related departments.
  • Must be able to promote and maintain personal and team development.
  • Comply with the requirements of the Data Protection Act, the Health Records act and other data confidentiality legislation.
  • Provide suggestions and input to departmental policies and procedures to Line Manager.
  • Ensure that any monies that are received within the department are processed appropriately.
  • Ensure that levels of stock are maintained in the department and ordered through the Oracle system as appropriate.
  • Is required at all times to carry out their individual responsibilities with due regard to the Trust Equal Opportunities and to take reasonable care of his/her own health and safety and that of any other person(s) who may be affected by his/her acts of omission. With particular reference to Trust Health and Safety Policy notes.
  • Any other duties commensurate with grade and deemed appropriate by line manager.

  • Educated to GCSE level
  • IT literate with a good level of experience in MS Office, Word and Ex
  • Demonstrable Customer Service Experience (either F2F or phone based)
  • Good level of written communication (demonstrated in application form)

  • Accurate attention to detail, Excellent Keyboard skills, Ability to work under pressure.
