Job overview

Are you looking for a new challenge?  We are seeking to recruit a part-time (24 hrs) enthusiastic Receptionist/Administrator to join our friendly, dynamic team. This is a great first step into an administrative career working for the NHS, as we will train, mentor and coach the successful candidate.

We are looking for someone to be part of a busy team, who works confidently and efficiently, demonstrating a helpful, courteous, professional and sensitive manner at all times.

Within a culture of delivering high quality care, you will act as the first point of contact for patients and visitors at our department.

If you are enthusiastic, motivated, and ready for a challenge, then you are what we are looking for. You will need to have the flexibility to deal with interruptions and be an excellent, tactful communicator. You will project an efficient, helpful and friendly manner when dealing with patients, carers, medical staff and other service users, both face to face and over the telephone.

Experience of dealing with members of the public is key. You will be an effective team player and have excellent interpersonal and organisational skills. You will be able to work independently to a high standard and have excellent IT skills.

Main duties of the job

Make appropriate preparations for all appointments/admissions, to ensure that the woman’s visit will run smoothly. Providing a warm and friendly reception service to the women and babies as they attend the Antenatal Suite for antenatal and/or postnatal care.

Ensure that Case Notes and associated documents are properly maintained in a complete, orderly, and accurate state. Ensure medical case notes are tracked in and out of the Antenatal Suite/ Pregnancy Day Care using the electronic patient admin system and electronic case note ordering programme.

Maintain good relationships with women accessing Maternity Services and other members of staff, ensuring a high degree of confidentiality, complying with the Trust’s Information Governance policies at all times. Similarly, to ensure that women are dealt with in an equitable way, providing individualised care.

Distribute department mail, thus ensuring that correspondence is dealt with in a timely manner. Providing basic general office duties such as photocopying, preparing packs for care provision.

To respond in a timely manner to internal and external electronic and telephone enquiries, making a judgement as to ensure messages are accurately dealt with or forwarded onto an appropriate member of the team

Maintain accuracy and completeness of all electronic records, following policies and  procedures for the recording of data on the patient admin system
