Main duties of the job

The main duties of the job are to support the Medical Records Manager:

  • Day to day supervision of staff and to ensure that all teams are supported to locating, preparing and providing case notes for Outpatients clinics.
  • Recruitment and selection of new staff
  • Ensure induction and training of staff in liaison with departmental leadership team
  • Reporting of sickness absence and completion of back to work interviews
  • Prepare and adapt staff rotas

Person specification

Knowledge

Essential criteria
  • Computer literate with excellent keyboard skills equivalent to RSA1
  • Ability to interpret/analyse data
  • Ability to use spreadsheets
  • Confidentiality procedures
  • Current knowledge of NHS Issues, understanding of targets affecting OPD.
  • Knowledge of how to deal with a range of non routine activities such as work allocation.
  • Problem solves for the team as well as answering queries and progress chasing.
  • Ability to develop new and additional processes for the team to meet the ever changing OPD environment.
Desirable criteria
  • Knowledge of 18 week pathways
  • Working knowledge of PAS and the NHS in general.

Qualifications

Essential criteria
  • Good general education including English GCSE at grade C or above (or equivalent)
  • Education/Ability equivalent A level standard
  • HRIM Certificate or equivalent level of knowledge
Desirable criteria
  • European Computer Driving Licence
  • NVQ Level II Admin

Further Training

Essential criteria
  • Supervisory skills training or willingness to attend

Experience

Essential criteria
  • Experience of working within an office environment.
  • Patient admin experience at a senior/supervisory level to include OPD clinics/appointments system and booking
  • Leading project areas or work streams preferably in the outpatient setting
Desirable criteria
  • Customer Care
  • NHS experience
  • Supervisory Experience
