Job overview

This is an exciting opportunity to join our established Neurodevelopmental Specialist Service( NESS).

We are seeking an Admin Team Leader with relevant admin and leadership experience to coordinate and lead the admin team. The admin team are responsible for the flow of patient referrals through to diagnosis/discharge . 

 

Main duties of the job

The post holder will be responsible for the day-to-day support and supervision of administration colleagues  to ensure  excellent administrative support is provided to the clinical team

You will have the following:

Educated to NVQ Level 4 standard or equivalent level of knowledge and experience.

Significant experience in a recent similar role, including the supervision of staff.

Extensive working experience of MS packages

Knowledge of procedures in relation to providing a safe working environment

Working knowledge of patient information systems

Working with minimal supervision and using own initiative

Excellent communication skills, with staff at all levels, patients and outside agencies

Excellent organisational skills, office management and the ability to prioritise and work to set timescales

You will work under the direct supervision of the Service Manager.

Detailed job description and main responsibilities

The post holder is required to provide a lead role with responsibility for the day-to-day management of administration and secretarial staff.  Co-ordinating an efficient and effective administration and secretarial service. 

To ensure that data quality and timelines meet Trust and CQUIN targets.

Close liaison with Contractors, Trust Estates, IT, Procurement and Support Services Departments to ensure that the site is managed effectively and efficiently.

To manage the Health and Safety Workbook under the provision of the Trust’s Health and Safety policy in relation to admin staff and site common areas.

This role requires an experienced individual, with qualifications and previous experience in the day-to-day management of staff.  The post holder will have excellent communication and organisational skills and have working experience of site management.

Qualifications

Essential criteria
  • Possession of a recognised leadership/management qualification to Foundation Degree level or significant recent leadership management experience
  • Knowledge of a full range of Business & Administration procedures acquired through NVQ Level 4 or significant leadership experience, which will include management of staff including complex issues such as change management and conflict issues
  • Typing/word processing qualification to RSA/OCR III standard or equivalent skill level

Experience

Essential criteria
  • Dealing with people to maintain a high level of customer care
  • Extensive knowledge of working to management level
  • Experience of working in a busy office environment
  • Extensive knowledge of Microsoft Office Packages
  • Understanding of the data protection act and maintaining strict confidentiality
  • Accurate minute taking skills essential to internal and external meetings and HR investigation/disciplinaries
