Programme Support Officer

This post will focus on supporting the delivery of the Tomorrow’s NUH Programme and projects. The post holder’s primary duties will be to provide support and undertake administrative duties for the Tomorrow’s NUH Programme Management Team to support programme and project delivery.

The post holder will have excellent organisational skills, initiative, time management skills and personal credibility.  The post holder will support the Tomorrow’s NUH Team and the associated wide programme of activities through, for example, setting up and maintaining programme and project documentation, being a useful point of contact for internal and external stakeholders, monitoring risks and achievement of milestones through the production of regular ad hoc reports and supporting/facilitating meetings and allied events. 

The post holder will provide management administration support including organising meetings, producing minutes and agendas to a high standard, compiling reports and be able to manage multiple diaries effectively. 

Based at City Hospital site the post holder will be required to travel across the sites and sometimes to other Greater Nottingham venues. Occasionally the post holder may need to work out of core hours (including weekends and evenings) as required by the programme/projects.

Responsible for all aspects of secretarial and administrative support provided to the programme of work and all associated projects.

Ensure complex information key to the programme and projects is compiled, managed and updated and communicated to the highest level of quality and accuracy, including the preparation of reports, flow charts, presentations and other associated programme and project documents as required. 

Maintain an accurate appointments diary to efficiently manage and co-ordinate the time of the project teams and provide day to day diary management as required. 

Responsible for the co-ordination and organisation of all associated project meetings, including preparing and issuing appropriate papers, developing agendas, attending the meetings where required and producing timely action notes and minutes.

Responsible for monitoring and co-ordinating the actions for programme meetings, collating updates and challenging as appropriate. 

Implement and maintain systems and processes to support the programme and projects and use robust organisational procedures to develop a flexible and adaptable centralised administration support. This will include Programme and project plans and logs including those documenting Risks, Issues, Actions and Decisions.

Manage the ordering and allocation of any necessary project resources and/or equipment 

Suggest and support improvements to current management information, analysis and reporting, to enhance the decision making processes 

Maintain an active knowledge and understanding of the projects objectives and progress. 

Maintain a master list of reference data as instructed by the Programme Management Team.

Preparation of routine and ad hoc management reports to support the Programme Management Team.

Organise and plan workload to ensure the integrity and timeliness of management data, and to help ensure deadlines are met.

To assist in the maintenance of project files maintaining confidentiality at all times.

Propose and implement changes to policy and procedures for own area of work. 

Provide training on own areas of work to new members of staff and end users as required. 

Produce key programme documentation ensuring it is delivered on time and to the correct audience.

Support in the production of concise reports, suitable for formal presentations to the programme team and other stakeholders.

Providing information to the team on performance regarding data and information activities in relation to trust projects and indicating problem areas without delay.

Ensuring the timely availability of information for the effective planning and scheduling of programme activity.

Attending team meetings as the information expert to interpret and present information orally and in writing, providing explanations, advice and feedback.

 Ability to manipulate data from a variety of sources and present in the most appropriate format (maps, charts, tables etc.). 

 As directed by the Programme leads preparing and issuing appropriate papers, developing agendas, attending the meetings where required and producing timely action notes and minutes.

Attend specific meetings to record, prepare, submit and distribute minutes and action lists as quickly and efficiently as possible. Prepare agendas and supporting papers, following up actions as necessary. 

To maintain information systems such as circulation lists, regular meeting dates and venues, 

To type correspondence, reports, agendas and minutes, ensuring confidentiality at all times.  

To take notes and minutes at meetings as required picking out key points from the discussions.  To develop a good understanding of management processes in order to minute effectively.

Manage the ordering and dissemination of any necessary project resources and/or equipment.

  • Good general education to A Level standard.
  • NVQ Level 3 in administration or equivalent experience.
  • Evidence of good written English.

  • Microsoft Project qualification

Experience

  • Experience of working in an administrative role within the NHS, in an office environment.
  • Competent in the use of MS Office products including Word, Outlook, Excel, and PowerPoint
  • Can demonstrate experience of producing meeting agendas, taking accurate minutes/meeting notes and action lists within required deadlines
  • Knowledge of administrative procedures, including using various IT systems and project management methodologies
