Job overview

An exciting opportunity has arisen for a full time Secondment  Band 4 Waiting List Co-ordinator within Interventional Radiology. 

Working as part of a team the post holder will support the provision of a high quality administrative administrative service to Consultants and clinical teams to ensure their Specialty appointments are completed accurately and within the set timeframe together with any other associated administrative duties. The post holder must exercise initiative to organise their own workload within defined deadlines.

The role/duties of the post are outlined below. In undertaking this role, the employee will be expected to behave at all times that are consistent with and actively supports the Trust values.

Main duties of the job

The post holder will work as part of a team of Waiting List Coordinators for a delegated number of consultants, managing their elective and day case waiting lists at Nottingham University Hospitals NHS Trust, in accordance with Government Access Targets and Trust Patient Access Policy and Procedure. The post holder will also ensure that there is efficient and effective use of available resources at all times.

They will coordinate admissions, and associated pre-operative assessment clinics and theatre lists. The post holder will also play a key central role within the services and will be required to work in close liaison with consultants, pre-operative teams, NHS colleagues, patients and the general public.

The role/duties of the post are outlined below. In undertaking this role, the employee will be expected to behave at all times consistent with and actively supporting the Trust values, detailed above.

The post holder should possess the ability to use their initiative, working without direct supervision, organising and taking control of specified duties, escalating where necessary to the Deputy Administration Service Manager.

The post holder will also be required to provide cover for the other Band 4 booking colleagues in the Radiology admin team when necessary.

Detailed job description and main responsibilities

Responsible for adding / removing patients on the NUH waiting list and coordinating / booking admission to hospital, using hospital IT systems, e.g. Trust Patient Administration System (Careflow), Bluespier, the Radiology Computer Information System (CRIS), and Digital Health Records (DHR).

· Act as the first point of contact within the Trust for patients who have enquiries regarding admission details and waiting list queries, either in person, telephone or email.

· Be responsible for the management and accurate validation of waiting lists in line with the 18 week Referral To Treatment (RTT) and National Diagnostic targets and Faster Diagnosis Standards for cancer.

· Maintain accurate records to ensure all admissions for elective procedures are outcomed and completed on CRIS and Careflow in line with Trust Patient Access Policy and Procedure.

· Ensure all relevant actions are taken to initiate, amend and cancel theatre and diary lists in accordance with theatre policy.

· Escalate the annual leave or unavailability of Interventional Consultant Radiologist to ensure theatres / slots can be reallocated.

· Alert and work with Deputy Service Admin Manager to deal with any capacity issues.

· Arrange transport or an interpreter for those patients who require it.

· Ensure appropriate beds are booked following the correct protocol.

· Provide an appropriate confirmation letter to patient, along with the relevant supporting information and instructions.

Training and Qualifications

Essential criteria
  • Educated to GCSE standard with passes at grade C or above for English and Maths or similar through vocational training
  • Evidence of commitment to continued learning or improvement through attendances at courses.
Desirable criteria
  • Good command of the English language – both written and spoken.

Communication and Relationship Skills

Essential criteria
  • Must be polite and able to clearly and accurately convey information verbally to different audiences including patients, GPs, Medical PAs, Consultants, Managers, hospital admin & clinical staff
Desirable criteria
  • Can answer factual questions clearly and concisely

Experience

Essential criteria
  • Proven clerical experience
  • Proven experience of waiting list management within the NHS
  • Demonstrate knowledge of waiting list management
  • Experience of Microsoft Outlook, Word and Excel
  • A thorough understanding and a practical ability to implement the Trust Waiting List Policy and Procedures
  • Experience of working to deadlines
  • Able to deal confidently with senior managers within the Trust/from other healthcare providers
Desirable criteria
  • Experience in managing change
  • Possess a thorough understanding of the patient focused care concept and customer expectations
  • Experience of resource management skills
