The successful candidate will join a group of leaders to support the delivery of a safe and efficient service to the Queen's Medical Centre (QMC) campus. Coordinating the receipt and stock control of medicines for both internal and external customers, you will have good communication and organisation skills. The Pharmacy Stores Coordinator also deputises in all areas of the Stores service in the absence of the Lead Pharmacy Technician.

We welcome applications from enthusiastic Pharmacy Technicians and experienced Pharmacy Technical Officers (ATO’s) and can offer specific training to help develop your skills.

Main duties of the job

The post holder will be based at the Queen's Medical Centre (QMC) Pharmacy Stores of the Nottingham University Hospitals NHS Trust.

Supervise and coordinate the day-to-day receiving processes for internal and external customers efficiently and safely, in order to meet required deadlines. To participate in checking of all goods before leaving the Pharmacy Store following validation.

Detailed job description and main responsibilities

Supervise the day-to-day receiving processes for internal and external customers according to the departmental/transport schedules and in line with standard operating procedures (SOP).

Maintain a system of work that promotes the identification of stock problems and resolves them within the limits of own authority.

Deal with customer enquiries or complaints and give appropriate responses within own limits of authority.

Participate in the checking of assembled stock (after completed validation) of all medicines, including cytotoxic drugs and sundries assembled by other Pharmacy Stores staff including non-validated staff.

Ensure that all electronic and paper-based orders are documented and costed accurately and in a timely fashion.

Check all types of emergency boxes (after validation) which are replenished and supplied by Pharmacy Stores.

To participate in the compilation of departmental schedules/rotas including evening, weekend and bank holiday rotas. Complete and take responsibility for required duties as allocated on the daily evening, weekend or bank holiday rota.

Work in line with and promote hospital and departmental working practices that follow policies and procedures including health and safety, COSHH, manual handling and security.

Assist the Lead Technician where appropriate in line with Pharmacy Governance processes and investigation of MHRA alerts (including the quarantine of affected medicines). Implementing or amending processes as a result of new learning opportunities. 

Assist and input into the organisation of both rolling and annual stock-takes. In the absence of the Lead Technician, ensure that stock-take commitments are maintained.

Actively involved in the review and maintenance of stock management in conjunction with the Lead Technician.

Assist the Lead Technician in the training of Assistant Technical Officers (ATO’s),  Pre-registration Technicians and any other staff where appropriate.

Participate in Pharmacy Internal Error reporting in Stores in liaison with the Lead Technician (Training and Quality Assurance).

To take an active role in contributing towards service development and improvement both within Pharmacy Stores and the wider Pharmacy department.

Maintain effective communication with all members of the Pharmacy department and the wider multi-disciplinary teams within the Trust.

Work in line with departmental standard operating procedures (SOP’s) and highlight any discrepancies in current practice to the Lead Technician to ensure SOP’s are constantly reviewed and updated where appropriate. SOPs when and where appropriate.

Participate in and take responsibility for own Continual Professional Development and departmental personal development plans.

To participate in rostered flexible shift working including evening, weekend and bank holiday arrangements in line with service commitments. This may be at the City Hospital or Queen's Medical Centre campus sites.

Training & Qualifications

Essential criteria
  • NVQ level 2 in Pharmaceutical Services with substantial additional experience equivalent to NVQ3; or NVQ 3 Pharmacy Services (or equivalent)

Experience

Essential criteria
  • Previous Pharmacy experience to include: • Stock Management • Pharmacy electronic systems for labelling and stock management. • Able to work in a productive team
Desirable criteria
  • Has previous experience of working in a Pharmacy Stores environment

Communication and relationship skills

Essential criteria
  • Able to communicate clearly through verbal and written skills.
  • Good telephone manner, polite face to face, email accurately record relevant details
  • Able to integrate into a multidisciplinary team
  • Demonstrate they are willing and approachable

Physical skills

Essential criteria
  • holder will frequently be required to exert light physical effort and may sit for long periods of time using IT equipment or meeting staff. When in the dispensaries standing for long periods of time may occur. There may also be occasions where the post holder is expected to exert moderate physical effort (e.g. pushing trolleys between pharmacy areas). Lifting, bending and stretching will be required
