Commissioning Support Officer - Continuing Healthcare

Nottingham and Nottinghamshire ICB are seeking an enthusiastic, motivated and organised administrator to join their NHS Continuing Healthcare (CHC) Team, to provide high quality administrative support to the continuing healthcare function.

The main focus of the role is to provide financial and administrative support to the CHC team working within the confines of the Continuing Healthcare Framework and timescales. Working with a range of system colleagues including clinical teams, ICB colleagues, providers and Local Authorities you will maintain accurate patient records relating to the financing of care packages. The role involves liaison with the local authorities regarding joint funding agreements and processing re-charges. You will check and process invoices from care providers and deal with queries through to successful resolution.  You will also be required to attend Panel meetings and be able to take accurate minutes involving confidential and sometimes complex issues.

 We are looking for an experienced Administrator with an excellent working knowledge of Word with the ability to produce letters and documents to a high standard. You must also be a good communicator as you will be dealing with a range of key stakeholders including care providers, local authority and health colleagues by telephone, in meetings and via written communication. You must also be able to take accurate minutes at meetings involving confidential and sometimes complex issues. You will undertake a variety of other administrative tasks such as checking and processing invoices.

The successful candidate will be guided by a supportive and experienced team. We are looking for a candidate with the following attributes and skills.

Listed below are some of the responsibilities and tasks the post holder will be expected to carry out and support, which is not an exhaustive list of tasks and responsibilities. 

  • Process funding agreements with local authorities, ensuring an accurate record is maintained on the patient database
  • Validate and process re-charges from local authorities and invoices from care providers
  • Invoice checking and processing 
  • Inputting and updating patient records and funding decisions
  • Management of a generic email account, responding to enquiries and signposting appropriately
  • Producing high quality documentation including minutes of meetings, letters to patients, families, and professionals, ensuring accuracy and confidentiality is maintained at all times.
  • The post holder will also undertake a variety of administrative tasks as needed.

Our administrative role is high-level and fast paced, providing operational support to the CHC teams and acting as a central point of contact for the department, our administrators liaise with our nursing teams, other ICBs, adult social care, care providers, patients and their representatives.

Your role will provide financial and administrative support to the Nottingham & Nottinghamshire Integrated Care Board to enable the teams to deliver an efficient and effective service for patients. Your main role will be to maintain accurate records relating to NHS funded care and processing payments, including the checking and processing of invoices. You will support the planning and commissioning process for Continuing Care and Section 117 aftercare, working within the National Framework for NHS Continuing Healthcare and NHS Funded Nursing Care (FNC), local s117 after-care policies and the National Framework for Children and Young People’s Continuing Care.

Confidentiality is an essential part of the role and you will be expected to complete statutory and mandatory training to ensure your compliance around our policies and government legislations/guidelines.

You must be an experienced and exceptional administrator with the enthusiasm to learn and understand the NHS Continuing Healthcare process.

Minimum GCSE / O Levels

  • 5 x A-C/Grade 4 or above GCSEs including English and Maths
  • Administrative experience in an office environment, including, use of databases, sending letters, updating and maintaining records, invoice processing, finance reports and use of excel spreadsheets
  • Experience of IT systems including Word, Outlook and Excel
  • Strong administrative management skills, including minute taking
  • Attention to detail and accuracy
