Job overview

We are a highly creative, enthusiastic NHS Talking Therapies service looking for a full-time substantive post of an Administrator. The post holder will provide a comprehensive administrative service to support duties associated with the NHS Talking Therapies service. Good organisational ability, strong IT skills, excellent customer relations and flexibility are required.

NHS Talking Therapies provides evidence based psychological therapies for adults with a range of common mental health problems such as depression and anxiety disorders. The post holder will be working within our administration team to support Clinical staff.

Main duties of the job

·      To provide comprehensive administration support to the Service leads/team members and when required the Designated Manager, using IT systems effectively, including internet/intranet, data entry, email, windows, SystmOne and IAPTus.

·      To receive incoming telephone calls and deal with queries where possible/or take accurate messages/record information on the computer or direct the phone call to the appropriate recipient. 

·      To accurately record patient details and book patients into appointments.

·      To deal with all incoming correspondence including the generation of replies on own initiative.

·      To generate a range of documentation including letters and reports to a professional standard. 

·      To be able to work unsupervised using own initiative, managing and prioritising own workload.

·      To manage day to day duties in their role and undertake photocopying, printing and scanning.

·      To ensure that all matters of importance are brought to the immediate attention of the Supervisors/Service Leads/Operations Managers and/or Service Manager or any designated manager.

·      To actively deal with day-to-day issues and queries which may include gaining responses from others/request for information.

·      To always maintain sensitivity when dealing with private and personal situations/information relating to both staff and patients.
