Job overview

As a Medicines Optimisation Administrator, you will provide a comprehensive administrative service for the ICB Medicines Optimisation team. You will be responsible for coordinating administrative activities for the team, including scheduling, circulation of papers and minute taking. Efficient invoice processing will also be required. The post holder will be a point of contact for dealing with Medicines Optimisation inquiries and as such will require excellent communication, organisational and analytical skills.

Main duties of the job

As our Medicines Optimisation Administrator, you will:

  • Provide comprehensive administrative/secretarial support to the ICS Chief Pharmacist and the wider ICB Medicines Optimisation team
  • Develop and co-ordinate support systems to ensure the efficient running of the department.
  • Contribute to the availability of medicines related information via the Primary Care Portal by administration of relevant documents.
  • Act as an initial point of contact for enquiries from professionals, managers, and members of the public.
  • Service the meetings of the Integrated Medicines Optimisation Committee and its sub-groups as appropriate.
  • Support the processing of Continuous Glucose Monitoring (CGM), insulin pump and Hybrid Closed Loop (HCL) system requests liaising with commissioning, procurement, finance, and suppliers.
  • Act as authorised signatory for ICB liaising with NHS Business Services Agency to notify organisational and prescriber changes. This is to ensure accurate prescribing costs to the correct prescriber and prescribing budget and provide accurate and detailed prescribing information.
  • Use NHS Business Services Agency ePACT2 to obtain routine prescribing information and present in report form.

Essential criteria
  • NVQ qualification or equivalent knowledge or competencies.
  • Suitable experience in an administrative and/or data analysis role.
  • Numerate and/or able to manipulate statistical data.
  • Knowledge of administrative procedures, project management or information analysis.
  • Effective communication skills. This includes developed interpersonal, negotiation, influencing and conflict management skills, where the subject matter is complex and/or sensitive.
  • Developed analytical and problem-solving skills will be required for assessment of facts or situations.
  • Ability to work effectively as part of a team
  • Prioritisation skills with ability to manage multiple strands of work.
Desirable criteria
  • Working experience of clinical pharmacy and knowledge of the terminology.
  • Understanding of prescribing information.
  • Negotiating, networking and persuasive skills.
