Job overview

An exciting opportunity has arisen to join our well-established Enhanced Care Team as an Admin assistant. In this role, you will provide efficient clerical and administrative support, ensuring the smooth operation of the team by supporting Enhanced Care Team manager. Key duties include managing the ECT patient register, maintaining up-to-date staff records, and assisting with the daily allocation of staff to various wards using the e-rostering system. You will also be responsible for tracking staff 1:1 records, appraisals, and mandatory training,  while supporting team meetings, taking minutes, and ensuring administrative targets are met. Maintaining confidentiality and adhering to security and data protection policies is crucial.

Main duties of the job

We are looking for someone who is highly organized, detail-oriented, and proficient in using Microsoft Office, particularly Excel, for data management. Experience in managing staff records and using e-rostering systems is desirable. You will be working in a busy, fast-paced environment, requiring a polite and professional manner in all interactions. Detailed job description and main responsibilities

  •      Undertaking clerical duties as allocated by your line manager providing effective and efficient service in a polite and courteous manner.

·  Assist in meeting administrative targets for the team, including supporting meetings and transcribing minutes.

·         Use computers, office equipment and telephones to undertake the duties of the post.

·         Participate in staff training and monthly meetings

·         Ensure maximum data accuracy of data at all times.

·         Adhere to security and data protection policies of the Trust in respect of access and use of patient data, equipment security etc

·         Maintain ECT patient register on an Excel spreadsheet.

·         Recording all auditing data for the data presentation.

·         Maintain up to date ECT staff records electronically

·         Making arrangements for staff training and team meeting

·         Manage and maintain e-rostering including the daily staff allocation to different wards according to the requirement.

·         Keep a tracking on staff 1:1 records and appraisals

·         Maintain staff mandatory training records

  • Maintain confidentiality at all times

Person specification

Qualifications

Essential criteria
  • GCSE Level Education or equivalent, IT Skills-Microsoft Office, Educated to NVQ level 2 in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience

Knowledge

Essential criteria
  • Demonstrable experience of working within an administrative environment
  • Keyboard skills including Microsoft Office 365
Desirable criteria
  • Diary management & secretarial experience

Skills

Essential criteria
  • Sound verbal communication and interpersonal skills at all levels including excellent telephone skills
  • Able to multitask, prioritising workload to meet deadlines
  • Ability to work with discretion, sensitivity and maintain confidentiality
