Personal Assistant to Head of Service

Job overview

An exciting opportunity has arisen for a Personal Assistant (PA) to provide direct support to the Head of Community Services whose portfolio consists of core, urgent and crisis community mental health services.  
The role of the PA will be a fundamental part of the service and will provide exceptional administrative support to the Head of Community Services. The PA will be required to manage competing demands, priorities and deadlines which can change regularly whilst delivering day-to-day administrative support including diary and email management. 
The Head of Community Services works countywide therefore their base can be negotiable however there is a need for independent travel across the county; flexible and agile working will be discussed as part of their induction and reviewed regularly.

Main duties of the job

The PA will take direction and be accountable to the Head of Community Services to plan service and project meetings and appointments and will be expected to take minutes and co-ordinate action logs. The PA will also provide support to delegated management staff.

The compiling and coordination of compliance and action plans to improve and support service delivery will be part of your role alongside ensuring accurate data is held within the Trust’s information systems.

The PA will frequently be the first point of contact for key stakeholders, patients and carers, so will need to have a high level of communication skills and emotional intelligence to ensure that a positive impression of the Trust is maintained at all times. The PA will need to build and maintain working relationships with a wide range of stakeholder; this may also include liaison with staff from the Integrated Care Board (ICB) and the Voluntary, Community or social enterprises (VCSE) to support the Head of Service.

It will be important for the PA to develop and maintain an understanding of key issues for the service to support the management and prioritisation of workload effectively and to supporting make decisions as appropriate
