Job overview

We are looking for a friendly, motivated, proactive and enthusiastic Administrator & PA to the Operational Director to carry out a varied and challenging role to support the Community and Children’s Management Team and Services.

The Community and Children's Directorate provides support to children, families and adults across North Yorkshire, North East and Wakefield and we would welcome applications from any of these areas.  We are happy to support home working and are committed to the Trusts values of Kindness, Integrity, Team Work and Equality.

Main duties of the job

The post-holder will act as PA to the Operational Director and will provide effective diary management and minute taking. Their duties will include 

•           To act as the first point of contact for all enquiries for the directorate, contributing to the delivery of an efficient and professional service

•           To arrange and manage meetings within the department, to include preparing agendas, collating documentation and taking and transcribing minutes

•           To support the Management Team to achieve their objectives and the objectives of the departments

•           To manage specific projects within departments as appropriate

•           To attend meetings to ensure co-ordination of services within the teams

•           To support the governance processes across the Directorate (Datix reports, management of SABS, incident and Quality Summit updates and populating reports)

•           To support the ordering of IT equipment and other items as required

They must be able to use initiative to problem solve and be able to maintain a high level of confidentiality and diplomacy at all times.

  • A Levels / NVQ 3 or equivalent experience
  • Managing sickness absence, annual leave and prioritising workload
  • Use or knowledge of Microsoft Word and Excel spreadsheets
  • Excellent verbal and written communication skills
  • Setting up and working with monitoring systems
Desirable criteria
  • Human Resources experience
  • Awareness of Risk Management
  • Healthcare administration experience
