Job overview
We have an exciting opportunity in our Dementia Intensive Support Team for a full time Senior Clinical Team Administrator.
The successful applicant would work closely with the clinical and management, medical team for DISTE, but would also be part of our wider admin team at Walker Close, potentially covering other areas when needed.
This role would suit somebody that is interested in developing their leadership skills whilst working in a challenging, fast paced environment where every day is different and offers new opportunities for learning.
The successful applicant must reflect our Trust values and have a positive can do attitude. To work well as part of a team but also to be able to make decisions working on your own initiative. To demonstrate good leadership qualities, to support and supervise admin, to prioritise and delegate workload in order to achieve goals and to meet deadlines is essential.
Efficient time management and good planning is crucial to this role to allow the best quality of service for our patients and clinicians.
Main duties of the job
As part of this role you will provide support for the Clinical Team Leader, nursing staff and Medics whilst overseeing that the daily administrative procedures run smoothly, and data is kept up to date in an accurate and timely manner.
You will need to have an understanding of the importance of HR procedures and will have supervisory responsibility for a small number of the admin in the team.
Preferably, you should have experience of patient software systems although training on Lorenzo (patient administration system) will be given. It is essential to have good typing skills and a good knowledge of Microsoft Word, Excel and Outlook.
Knowledge or experience of NHS working would be desirable. Applicants must have the ability to work to tight deadlines, to demonstrate clear and effective communication skills, and apply attention to detail whilst maintaining confidentiality and professionalism at all times.

Detailed job description and main responsibilities
- Provide secretarial / administrative support to the clinical team, ensure the workload is prioritised to ensure patient safety and meet quality standards.
- Tasks from the CTL – this includes, HR form changes, updating the electronic system ESR, room bookings and cancellations, any adhoc tasks, away day attendance/preparation, note taking.
- Taking minutes for meetings and attending meetings as required
- Note taking for investigations, organising and sending letters and reports
- Typing up letters and reports for Medics, including audio typing
- Supporting and engaging with HR procedures,
- Keeping personnel files up to date
- Live typing in patient reviews
- Provide supervision, support appraisals and training to a number of identified (lower banded) admin staff.
- Deal effectively with all types of patient referrals liaising directly with General Practitioners, clinical and medical staff from other areas, service users and their relatives.
- Manage and re-arrange team appointment systems and diaries.

Experience
Essential criteria
- Ability to work with senior members of staff across a large organisation
- Understanding and experience in a full range of secretarial procedures and systems gained through practice at intermediate level.
Desirable criteria
- Staff supervision / appraisal process (2)
- Knowledge of electronic trust system
Skills
Essential criteria
- ICT skills including Microsoft (especially word processing, spreadsheets and presentations, e.g. Word, Excel, PowerPoint) or equivalent.
Qualifications

- NVQ 2 Customer Services or working towards
- NVQ 3 Business Administration or equivalent or willing to work towards.
- Pitman/RSA III Typing / Word Processing or equivalent secretarial experience at advanced level.
