Job overview

NCHC has a number of multidisciplinary roles within a modern, new build therapy led unit in Norwich opening in 2024.

We are looking for a highly motivated, approachable, adaptable, flexible, multiskilled and innovative Ward Clerk who is committed to delivering exceptional and comprehensive administration support.

You will possess excellent organisational and customer care skills, be patient-centred and wants to join our exciting journey creating a supportive and comfortable environment for 48 patients at NCH&C's Norwich Community Hospital site. Healthcare will be delivered by a multidisciplinary team of clinical professionals dedicated to patient recovery and well-being.

Utilising the latest therapy and rehabilitation technology and practices, you will be a part of this new team and will play a pivotal role in supporting patients back into the community and, in this role, we can offer you the opportunity to play a significant part in creating a reablement culture within a brand-new unit.

Main duties of the job

To provide comprehensive, general administrative and clerical service to the inpatient unit at Willows Therapy Unit. To ensure that all administrative processes and tasks are undertaken efficiently, effectively and to a high standard, contributing to the smooth running of the ward and reception areas and its overall effectiveness. Supporting the Unit Lead and working closely with admin and health colleagues.

To support the delivery of a high quality, safe and compassionate healthcare service.

Detailed job description and main responsibilities

To carry out and prioritise a variety of administrative and clerical duties and undertake other general office/ward duties, prioritise and generate own workload which will include:

  • to undertake receptionist/telephonist duties
  • be a point of contact for internal and external callers and visitors
  • accepting deliveries
  • re-directing callers and service users
  • completing admissions and discharges
  • printing, scanning and filing
  • receiving and sending mail
  • researching and circulating documents

To communicate with patients and other stakeholders at an appropriate level, providing clear information and guidance. Dealing with patients’ fears and lack of understanding, exercising tact and judgement in dealing with and resolving routine enquiries. Taking accurate messages and ensuring these are passed to the relevant person in a timely manner.

Dealing appropriately with all telephone and email enquiries as well as face to face patient contact.

To complete admission and discharge documentation.

Using a range of software programmes to produce, maintain and distribute documents, including reports, spread sheets, and databases

Qualifications

Essential criteria
  • Maths and English GCSE (Grade C or above), or equivalent
  • NVQ Level 3 in Business Administration or equivalent experience
  • IT skills

Experience

Essential criteria
  • Proven administration experience in a busy office environment
  • Proven experience of working as part of a team
  • Knowledge and understanding of computerised patient’s administration systems e.g. SystmOne, PAS
  • NHS medical terminology
Desirable criteria
  • Knowledge of NHS ordering systems
