Job overview

Following the successful mobilisation and integration of the Transforming Care Navigator Service across Norfolk & Waveney, the Norfolk and Waveney Integrated Care Board (ICB) have been successful in securing two-years funding from NHS England to replicate this new way of working to support children & young people (CYP) that require support with their mental health who are in hospital, or may be at risk of hospital admission.

We are looking for an administrator who has a real passion for making a difference to children, young people and their families and carers in a person-centred way, to help bring their voices to life and achieve their outcomes. 

The Norfolk and Waveney Integrated Care Board (ICB) are delighted to host this team; responsible for supporting children and young people who are inpatients in a Tier 4 mental health provision or are at risk of admission to hospital.

The Mental Health Navigator Team will be hosted by the Norfolk and Waveney ICB, but will work across the health, education and social care system. This two-year project will be driven by the lived experience of children and young people and their families, therefore our ‘experts by experience’ will be critical partners to shaping how we work.

Detailed job description and main responsibilities

Job Purpose

 

  • Co-ordinate processes providing a range of administrative duties supporting the delivery of services within the Navigator Service.

 

  • To deliver an effective and competent level of administration support and consistently deliver a “patient-focused” service which promotes good customer service and effective working relationships.

 

  • The job description and person specification are an outline of the tasks, responsibilities and outcomes required of the role. The job holder will carry out any other duties as may reasonably be required by their line manager.

Main Duties and Responsibilities

 

  • Act as a point of contact for the team, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders and signposting to others, as appropriate.

 

  • Answer telephone calls, take messages and pass on information accurately to the relevant department/person.

 

  • Provide general administrative support to the team, ensuring that all documentation is logged and recorded on the appropriate system.

 

  • Ensure that all Patient Identifiable Data (PID) is managed in accordance with national guidance.

 

  • Diary management, including arranging appointments and meetings.

 

  • Preparing for meetings and taking minutes/actions.

 

  • Ensure that any complaints, comments and suggestions are dealt with appropriately, in accordance with policy, resolving where possible and escalating when appropriate.

 

  • Draft internal and external communications for a range of audiences.

 

  • Photocopying and word processing documents, letters, emails, minutes and reports when required. The post holder must have a standard level of keyboard skills and be competent with all Microsoft Office programmes.

 

  • Be able to work on their own initiative to set timescales.

 

  • Have a flexible/adaptable approach to their work in order to meet various deadlines.

 

  • Arrange and oversee the maintenance of equipment used by the team, making recommendations for improvements as appropriate.

 

  • Share knowledge and expertise to improve processes, participating in corporate reviews where appropriate.

 

  • Develop good working relationships with internal and external customers, including regular communication, problem solving, and identification of improvements.

 

  • Responsible for organising meetings for the department and planning any administrative work as required.

 

  • Arrange external events and meetings, liaising with external stakeholders.

Person specification

Essential & Desirable

Essential criteria
  • Educated to NVQ level 3 in a relevant subject or equivalent level of qualification OR significant equivalent previous proven experience.
  • Demonstrable experience of working in an administrative environment and working with computerised data systems.
  • Excellent knowledge of Microsoft Office including Word, Excel, PowerPoint and Outlook.
  • Confident communicator who can: Provide advice and guidance on a range of issues to internal and external customers, e.g. relating to administrative processes and procedures, directorate policies and practices etc.
