An exciting opportunity has arisen for an accomplished and self-motivated Senior Management Support Administrator to support our Leadership Team Senior Managers across the Secure & Forensic Services Care Group, based either at Cedar House in Ipswich or Northside House in Norwich.
We’re a dynamic Care Group supporting people with mental health needs throughout the Criminal Justice System, from point of arrest to inpatient care, and into the community. Our teams are based in the Police Investigation Centres & Control Rooms, local prisons, secure inpatient wards and the community, making this a varied and interesting role.
Main duties of the job
The successful candidate will work closely with our Leadership Team / Service Managers, providing them with an accurate, prompt and efficient PA/secretarial/administrative service, including support to produce presentations, spreadsheets and complex reports.
Wide-ranging and significant knowledge and skills in administrative policies, procedures and practices are required, along with experience of working in a busy environment and meeting tight deadlines. The ability to administer meetings at a high level, including drawing up agendas, minuting, and implementing action plans is essential.

Detailed job description and main responsibilities
Management of multiple diaries and inboxes as required for the team members, to include organising meetings, appointments and regular commitments to assist in organising workloads.
Contribute to effective communication by liaising with internal and external parties and agencies as required on behalf of the team.
Deal with correspondence, communication and telephone calls, prioritising, co-ordinating and liaising with the team.
Provide induction, support, supervision, appraisals and training to administration staff as identified by line manager.

Qualifications
Essential criteria
- Pitman/RSA III typing/word processing or equivalent secretarial experience at advanced level.
- NVQ 3 Business Administration or equivalent or willing to work towards
Experience
Essential criteria
- Understanding and experience in a full range of secretarial procedures and systems gained through senior level.
- Ability to work with senior members of staff across a large organisation.
Desirable criteria
- Day-to-Day line management.
Skills
Essential criteria
- Interpersonal skills including taking a proactive diplomatic approach and ensuring confidentiality at all times.
- Advanced ICT skills including Microsoft (especially word processing, spreadsheets and presentations, eg Word, Excel, Powerpoint) or equivalent.
Knowledge
Desirable criteria
- Knowledge of NHS policy/procedures.
Other
Essential criteria
- Able to work proactively on own initiative with minimal supervision.
- Able to travel independently.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
