Job overview
An exciting opportunity has arisen for a forward-thinking Management Support Administrator supporting the GYW care group senior leadership team based at Northgate Hospital. This role is a 9 month fixed term contract - secondment for internal staff. The team manages and oversees clinical services that are provided by the Great Yarmouth and Waveney Care Group, supporting service users and their families and carers with their Mental Health. This includes both outpatient community services and inpatient beds with facilities in Norwich, Great Yarmouth, Carlton Colville and Lowestoft.
The successful applicant will work closely with other experienced administrators in an established team. You should be able to prioritise your work effectively, be forward thinking and have excellent communication skills. The ability to work both independently and as part of a team is essential. Experience of working within the NHS is advantageous but full training will be given.
You will need to be able to demonstrate the strength of your communication, prioritisation, and administration skills. You will be able to evidence a flexible response to service needs and the ability to think creatively. Experience of working to deadlines, on your own initiative and maintaining strict confidentiality are also essential.
Main duties of the job
This role will predominantly support the Care Group and Senior Leadership Team; however, responsibilities may change dependent on service need. Main duties include:
- Contribute to effective communication by liaising with internal and external parties and agencies as required on behalf of the team.
- Effective diary management as required for team members to include appointments / meetings, regular commitments to assist in organising the workload.
- To use electronic systems to input and access information as required by the management team.
- Attend and contribute to internal / external meetings relevant to the post.
- Deal with correspondence and communication liaising, prioritising and co-ordinating with the team
- To maintain a clear code of conduct and high standards of customer service in terms of dignity, respect and excellent customer service to all internal and external customer
General administrative duties will also be undertaken to support the wider Service Business Support Team and will include, but not be limited to, accurate and timely input into Trust electronic systems, maintaining paper and electronic health records, minuting of meetings, diary management, recruitment, using Oracle and liaising with other Teams/Agencies as necessary
