The Audiology Department offers a comprehensive and fully embedded diagnostic and rehabilitative service for both adults, children and includes Newborn Hearing Screening. We are also an established training site for undergraduate students and apprentices. Our department offers excellent facilities and a good working environment. We pride ourselves in offering the highest standard of care and as such receive excellent feedback from our both our patients and staff Friends and Family Tests. 

Main duties of the job

The post holder will be required to have a high level of secretarial experience in a busy office, be required to prioritise a full workload which includes diary management, managing patients and clinics in Auditbase the Audiology Patient Management System (PMS)  and the Trust PMS - iPM, making appointments, answering the phone, typing correspondence, liaising with other departments in the Trust along with other office duties.  It would be advantageous if the  post holder had an understanding of DMO1 and 18 week RTT pathways and waiting lists.

The post holder should be an effective team player who is able to adapt to change and be flexible in their approach to work. Knowledge and understanding of the Trust’s IT systems is a requirement for this post.

The Audiology department is a particularly busy department and the post holder will need to perform well under pressure and have a pleasant approachable manner when dealing with the public and members of staff.  A first-rate standard of typing and excellent communication skills, both written and verbal is essential.

Detailed job description and main responsibilities

Provide a comprehensive clinical secretarial and administrative service to the Clinical Team of the Head of Audiology, Audiologists and Hearing Therapist to enable them to carry out their duties in an effective and efficient manner and ensure efficiency in patient care under the guidance of the Senior Audiology Secretary / Administrator.

Deal competently and effectively with all written, telephone and face to face enquiries from patients,  medical and nursing staff, GPs, Social Services and other health professionals and non-clinical staff. Delivering appropriate information to the patient, relevant team member/clinician for action and deal with enquiries for the team.

Under the guidance of the Senior Audiology Administrator be responsible for the comprehensive organisation of the central diary, booking, sending and rescheduling all of the various appointments for the Audiologists , Paediatric Audiologists and Hearing Therapists. 

It would be preferable for the post holder to work flexibly across 5 days

Qualifications

Essential criteria
  • Typing qualifications to RSA II or equivalent
  • Good general standard of literacy and numeracy including GCSE English
Desirable criteria
  • Knowledge of medical terminology/AMSPAR qualification

Experience and knowledge

Essential criteria
  • Previous digital/audio typing experience
  • Significant secretarial experience in a clinical environment
Desirable criteria
  • Working knowledge and experience of using NHS systems

  • Excellent verbal and written communication skills

  • Ability to work to tight deadlines and maintain concentration in a pressurised working environment
