Job overview
EEAST is seeking an administrator to provide support to the Deputy Director of People Services. The post holder will be responsible for providing administrative/secretarial support in a number of way, working alongside the PA to the Deputy Director.
This role offers agile working allowing post holders to work from home with occasional travel across the Trust region and an office base available at Melbourn (Trust Headquarters in Cambridgeshire).
Main duties of the job
- To work collaboratively across the Business Excellence Team to ensure timely acknowledgement and assistance with all enquiries relating to the work of this Department
- To support in monitoring the Deputy Director of People Services email inbox/database systems ensuring emails are actioned in a timely manner.
- Undertake secretarial and administrative duties, preparing documents with a high degree of accuracy, including confidential letters and reports.
- Communicate effectively with senior managers, managers, staff and colleagues, both internal and external. Communicate in a confidential manner, when appropriate, with a high degree of understanding in relation to own role.
- Act as secretary at formal meetings across the Trust to take notes/minutes, prepare and distribute agendas, notes/minutes and any other relevant papers
- Manage railway/hotel bookings for the Team, as and when required.
- May be the first point of contact for staff wishing to raise sensitive, personal and welfare issues which may require tact and sensitivity

- NVQ Level 3 or equivalent employment experience.
Skills and Knowledge

- Competent user of Microsoft 365 (Word, Email and Calendar Applications, Microsoft Excel) and the ability to create effective documents.
- Able to liaise effectively with staff and managers at all levels in the Organisation, and with managers from the wider NHS and external organisations.
- Effective and accurate minute taking/audio typing.
Experience

- Set up and maintain effective administrative systems.
- Manage multiple tasks and prioritise workload to match management objectives.
- Prior experience in a similar administrative post.
