Please be advised that there is a temporary top up for Bands 1,2 and 3 to reflect the incorporation of the top up to the  living wage of £12 per hour - £23,465 per annum. This temporary top up will be in place until  the annual pay uplift for 2024/25 is confirmed

Job overview

The post holder will work independently to provide a secretarial and administrative office function to the Medical Team.  Duties will include transcribing medical correspondence, audio typing, undertaking mail and filing duties, retrieving patient’s medical notes, updating patient pathways and scheduling of theatre cases on TOMS system.

They will provide the relevant information to the Waiting List Team as and when required, dealing with patients, relatives, carers and external partners on a regular day to day basis using tact and diplomacy.

Main duties of the job

  • Plan own day to day tasks and duties.
  • Undertake routine typing and audio typing of clinical correspondence.
  • Update pathways in line with RTT guidelines.
  • Manage Consultant’s diaries.
  • Prioritise results, organise clinical activity and patient admissions.
  • Liaise with patients, General Practitioners and other Health Boards/Trusts to arrange ongoing treatment and care.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Qualifications

Essential criteria
  • RSA/OCR Level III or equivalent level of knowledge, skills and experience. Good standard of education. Comprehensive knowledge of medical/surgical terminology.
Desirable criteria
  • ECDL (European Computer Driving Licence) or similar qualification. Knowledge of University Health Board procedures. Medical Secretary qualification eg. AMSPAR.

Experience

Essential criteria
  • Previous experience in a secretarial role. Experience of working in a busy environment. Ability to prioritise and manage own workload. Knowledge of the Welsh PAS (Myrddin) system.
Desirable criteria
  • Experience of working in a hospital environment. Experience of supervising staff.

Aptitude and Abilities

Essential criteria
  • Excellent keyboard and audio typing skills. Excellent communication and telephone skills. Able to deal with patients and relatives in a sympathetic manner. Ability to deal with staff at all levels. Confidentiality and diplomacy. Excellent organisational and time management skills.
Desirable criteria
  • Setting up office systems. Ability to take shorthand. Ability to speak Welsh.
