Job overview
An opportunity has arisen at Cwm Taf Morgannwg University Health Board for a receptionist, clerical officer, to join an established administration team. This post will be based in Ysbyty Cwm Cynon hospital, covering a number of services within the locality of Merthyr, Cynon and Taff Ely valleys. The post holder would be required to travel to other sites as a relief receptionist/clerical officer in a number of supporting clinical administrative services. Support with travel will be provided along with training in all areas the post is required to cover across Cwm Taf Morgannwg University Health Board (CTMUHB).
The receptionist will be the first point of contact for visitors to the hospital site. They will work within a busy team providing customer focussed reception duties and clerical support to the hospital and community service. The post holder will perform front of house reception duties and liaise in a professional manner with patients, colleagues, members of the public and other agencies involved in patient care face to face and over the telephone as well as undertaking a wide spectrum of duties within the confines of the role.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply
Main duties of the job
The post holder will provide accurate communication and administrative services and be required to perform reception duties that are appropriate to the site, which can include ward base administration from time to time. These duties will include the co-ordination of stationery, key management, mail and post services, meeting room bookings and the distribution of patient equipment and consumables such as hearing aid batteries, nebulisers and community equipment.
Administration activities will include producing procurement requisitions and under the direction of the team leader, in line with the Financial Control Procedures the post holder will assist in the financial processes such as the collection of daily takings from the catering department, payphone, re-imbursement of patient travel expenses and petty cash payments.

Detailed job description and main responsibilities
The post holder will be able to use a variety of communication and interpersonal skills and foster good working relationships at all levels.
The post holder will :
- Communicate with patients, colleagues, members of the public and other agencies involved in patient and non-patient care both within the University Health Board or other outside agencies.
- Receive and transmit routine information requiring tactful, persuasive and empathetic skills when dealing with distressed patients and carers in person or by phone.
- The post holder will be able to diffuse potentially confrontational situations by using diplomacy, tact and empathy when dealing with patients/relatives and members of the public who may be aggrieved or irate.
- Undertake general reception duties, meeting and greeting clients and visitors.
- Be non-judgemental and portray a professional image at all times representing the University Health Board.
They will work in a very busy office enviornment and have the ability to apply themselves to undertake a range of administrative duties. They will be reliable, dependable and have the ability to work well within a team but also be able to work independently
They will be fluent in the application of Microsoft Office packages and processes, have the knowledge and ability to use office equipment.
This role can provide the post holder with development opportunities for career progression within the service and the wider Health Board.
The receptionist may also be required to cover at any site within Merthyr & Cynon locality as directed by their line manager.
