Please be advised that there is a temporary top up for Bands 1,2 and 3 to reflect the incorporation of the top up to the  living wage of £12 per hour - £23,465 per annum. This temporary top up will be in place until  the annual pay uplift for 2024/25 is confirmed

Job overview

·         To contribute and provide administrative support to the community secretarial and Community multi disciplinary team for the Cwm Taf University Health Board area, working in conjunction with key partners from other agencies across the Cwm Taf UHB locality region.

·         Support the community paediatric secretaries in providing a comprehensive and confidential administrative support for the community multi disciplinary team.

 ·         Follow appropriate systems, procedures, policies and processes, ensuring efficient and accurate typing skills are performed and that timely communication is carried out to allow the patients to experience a smooth journey at all times.

  

Main duties of the job

·        Routine typing/audio typing of clinical correspondence

·        Supporting the administrative needs of the multi disciplinary Paediatric Team.

·        Develop systems, support and organising clinical activity and appointments.

·        Liaising with patients and families, General Practitioners other referrers and partners to provide assessment, diagnosis treatment and care.

·      Follow appropriate systems, processes while adhering to Health Board policies and procedures at all times.

 ·        Support the development and maintenance of  IT systems and databases and provide up to date analysis of data from the system.

  • Must possess knowledge of a range of systems used within the Health Board eg. WPAS, Welsh Clinical Portal, RADIS etc.
  • Knowledge of a range of secretarial and office procedures.
  • Knowledge of a range of office and patient software systems.
  • Understanding of medical terminology.
  • RSA/OCR Level III or equivalent knowledge and experience.

Qualifications

Essential criteria
  • RSA/OCR Stage III or equivalent experience in word processing. • Good standard of education. • An understanding of some medical terminology.
Desirable criteria
  • Good knowledge of medical terminology.

Experience

Essential criteria
  • Of working using own initiative and as part of a team. • Previous experience as an assistant medical secretary or similar role. • Working to deadlines. • Being able to determine priorities.
Desirable criteria
  • Previous experience of working in an administrative role. • Working with multi-disciplined colleagues in a busy environment. • Previous NHS/Healthcare environment experience.

Skills

Essential criteria
  • Advanced keyboard skills. • Experience of using Microsoft Office package. • Excellent communication, interpersonal, and organisational skills. • Good telephone manner. • Ability to take and transcribe minutes.

Knowledge

Essential criteria
  • Knowledge of a variety of IT systems. • Understanding of Microsoft Office Software packages. • Setting up new office systems.
