Job overview
We have an exciting opportunity for two efficient administrators to support in our Immunisations Team.
The successful candidate will have good organisation and people skills, be computer literate and have the ability to work with limited supervision.
The post holder will provide a comprehensive and high-quality administrative support service.
The successful candidate will have the ability to support children and young people in school sessions whilst being professional, empathetic and understanding.
Main duties of the job
- Provide an administrative service to support all the Team
members - Ensure that reports are accurately produced prior to school sessions to help with the smooth flow on vaccination days
- Input data to required standards to support with the delivery of vaccinations.
- Effective liaison with multi-disciplinary staff/patients/carers/outside agencies ensuring accurate information is communicated as and when required.
- Responsibility for arranging clinics, booking appointments and associated data entry including the retrieval and maintenance of patient records.
- Arranging, when required, meetings and taking minutes, ensuring accurate transcription and distribution.
- Responsible for the ordering of stationery and medical supplies
- Contribute towards service improvement initiatives to enhance quality of patient care.
- Provide information and support to service users/carers as appropriate.
- Recognise and respond appropriately to urgent and emergency situations.

Detailed job description and main responsibilities
- Reporting directly to the Admin Manager/Supervisor
- First point of contact within the admin team for the clinical team
- Be the front line contact for the School Health Service. Communicate professionally and effectively with all service users (children, young people, parents / carers), the general public and all internal and external agencies both verbally and non-verbally in a timely manner
- Liaise with colleagues at all levels both within the team and across other agencies and organisations.
- Use own initiative when prioritising voice mail messages, ensuring that all are responded to in a timely manner
- Transfer relevant information to all health and social care providers as requested
- Provide accurate, up to date information directly to Senior Leaders
- Attend and contribute in meetings and huddles
- Adapt communication skills to deal with pupils/ parents / carers who may have hearing, visual or language/cultural barriers and cognitive disabilities
- Maybe exposed to verbal aggression over the phone, and often communicate with people angry or upset in a sensitive situation which will be dealt with appropriately and professionally using listening skills and ensuring that our comments are perceived in a professional and accurate way
- Liaising with Child Health Department to ensure all information obtained is relayed complete and accurate.
