Job overview

An exciting opportunity has arisen for an experienced administration clerk to work within the North Merseyside Community TB Team. We are a small and friendly team of specialist nurses based in Hartington Road Clinic, L8. 


The job requires an individual who can work, using their own initiative to provide a full administrative support co-ordinating and tracking patients on the TB Team caseload. Organising and arranging clinics and providing a full range of secretarial duties to the department.

It is a varied and interesting role for the right candidate.

Main duties of the job

Facilitating the TB Community Team referral work list on behalf of the department.  Checking received referrals from general practitioners and other sources, ensuring that all required information has been provided to complete patient referrals and register on EMIS.


Providing full secretarial support to the clinical team including keeping diaries and arranging appointments for patients.  Managing referral waiting list/prioritising/appointing patients and adjusting clinic times as necessary with minimal direction. Following department protocol and ensuring that notes are ready for clinical review.

Detailed job description and main responsibilities

You would be responsible for the effective and efficient delivery of a comprehensive administrative support service for the TB Team. This includes:
1. Facilitating the TB referral work list.  Checking received referrals and ensuring that all required information has been provided to complete patient referrals and registration onto Emis system.


2. Providing flexible clerical and secretarial support to the clinical team including keeping diaries and arranging clinic appointments for patients. Supporting the Nursing Team with discharge letters and referral letters.


3. To process patient letters and add these to the patient records.


4.  Maintain systems for record keeping including paper notes


5. To ‘input information onto TB databases’ assisting case managers by ensuring all necessary patient data, demographics and screening results are collated and entered on to NTBS database for quarterly statistics, activities and reports as required by the TB Specialist Nurse Team..


6. To look up patient sensitive information and patient results for case managers to action and record actions generated by case managers on local database; Prolonged concentration maybe required to ensure accuracy of data inputting and VDU required.


7. Managing referral waiting list/prioritising/appointing patients and adjusting clinic times as necessary with minimal direction. Following department protocol and ensuring that notes are prepared and ready for clinical review. 


8. Ability to work to monthly deadlines is essential. 


9. Supporting the Team Leader and service manager in liaising with local ICB when needed. Supporting with report production and presentation production.


10. Provide and receive routine information requiring tact and diplomatic skills. Exchange verbal and written information with patients, staff and carers relating to clinic appointments and home visits .


11. Maintain good relations with all persons, having regular contact with consultants and their medical teams, general practitioners, patients and relatives. Provide information and advice to patients and relatives regarding appointments. 


12. Receive telephone and email enquiries on behalf of Nursing Team from other staff, other hospitals across North Merseyside, management, suppliers and patients. Exercise independent judgement and initiative based on acquired knowledge when problems arise.

 
13. To participate in the development and contribute to the implementation of service changes as required. This will require undertaking any project work as directed, including obtaining information from the Internet, collation and reporting of data in order to produce reports and spreadsheets utilising relevant Trust IT systems, as determined by the role, ensuring all relevant patient data is collected and input accurately in line with Trust guidelines. Share ideas for potential service improvement.


14. Maintain and order stationary supplies. Also to order clinical supplies.


15. Annual clinic planning with the TB Team Leader


16. Data gathering and co-ordinating service audits on request and in a timely manner.


17. Administrative support for incident management supporting case managers.

Qualifications

Essential criteria
  • NVQ 3 business administration or equivalent experience
  • RSA 3 Typing/word processing or equivalent
Desirable criteria
  • ECDL or Equivalent
