Job role is for 12 month Maternity cover

We are seeking a confident  and cheerful person to join our Administration team for a 12 month period.

The Hewitt Fertility Centre  is one of Britain’s largest Reproductive Medicine units providing a comprehensive service to both NHS and fee paying patients.

The Hewitt Fertility Centre is wholly committed to providing a high quality service to patients who attend the centre, for a range of fertility related investigations and treatments. An opportunity has arisen within The Hewitt Fertility Centre Knutsford  for an Administrator Typist,  to cover maternity leave,  who is a bright, committed, and enthusiastic individual. A background in an administration role  is essential.

The post holder will be responsible for the administrative processes supporting all Hewitt Centre Knutsford clinics for both Private and NHS patients  They will be required to become proficient in the use of IT. The post holder will provide typing and administrative support to consultants and other staff within the Hewitt Centre Knutsford.  

Main duties of the job

 Deliver a high level of customer service in all interactions with patients, and other members of staff to ensure the highest standards of confidentiality, sensitivity and dignity are maintained at all times. Undertake booking and scheduling of patient clinic appointments within the Hewitt Centre, communicating the information to the patients by the most appropriate method dependent upon the service / treatment arranged e.g. private / NHS. Arrange all communication to new patients. Assist with the provision of a telephone answering service for patients who contact the clinical team directly ensuring the patient is passed to the relevant service or provided with the necessary advice and guidance exercising the necessary judgement when dealing with enquiries. Register and prepare patient files for all NHS and private patients,  entering demographic data on Meditech and IDEAS. Distribute or file patient information coming into the Administration office as required. Help maintain the Hewitt Centre’s case note filing system and ensure all notes are correctly tracked within, into and out of the office. Help manage a cancellation list for clinic appointments. Work flexibly to cover the hours of operation including weekends and Bank holidays if required. Undertake other duties as required from time to time providing cover for other members of the booking and scheduling team

Arrange all communication to new patients. Assist with the provision of a telephone answering service for patients who contact the clinical team directly ensuring the patient is passed to the relevant service or provided with the necessary advice and guidance exercising the necessary judgement when dealing with enquiries. Register and prepare patient files for all NHS and private patients, including Transport and Satellite patients, entering demographic data on Meditech and IDEAS. Distribute or file patient information coming into the Reception/Administration office as required. Help maintain the Hewitt Centre’s case note filing system and ensure all notes are correctly tracked within, into and out of the reception office. Help manage a cancellation list for clinic appointments. Work flexibly to cover the hours of operation including weekends and Bank holidays if required. Undertake other duties as required from time to time providing cover for other members of the booking and scheduling team

Skills, Knowledge & Aptitudes

Essential criteria
  • Proven aptitude for clerical role.
  • Good level of numeracy and literacy skills
  • Able to communicate clearly both in verbal and written communications
  • Good keyboard & PC skills.
  • Working knowledge of Microsoft Office packages i.e. Outlook, Word, Excel
  • Ability to type text to a good standard.
  • Organised and methodical with an attention to detail.

Experience

Essential criteria
  • Experience of working in an office or administrative environment preferably within a healthcare environment
  • Previous experience of working in a NHS role.
  • Experience of audio transcription letter generation service
  • Experience of customer service /appointments role.
  • Team work or group member experience
