We are pleased to advertise a  full time, Band 2 Health Records Clerk to work at The Willows Health Centre, Salford which is part of the Northern Care Alliance NHS Foundation Trust.

The Health Records department operates between the hours of 7:30am - 6pm , Monday - Sunday weekly. 

The department supports both Planned Care and Emergency Care Trust wide for Outpatient and Inpatient Services.

The Health Records Service will be central in the move to scanned health records as part of the Trust’s developing Electronic Patient Records and will therefore provide a different service than has historically been the case.

The Service provides the Trust-wide Reception and Health Records Service particularly the reception service operate extended hours in the evenings and at the weekend to ensure wider patient access.

The post holder will be required to work flexibly to cover these hours of operation and may be expected to work across all Trust sites and travel around the various clinics in the Salford area, when necessary, to cover.

The Health Records Service will retrieve and prepare records for scanning in advance of planned patients outpatient appointments and admissions along with providing a service for short notice and non-planned appointments and admissions.  A records library service will be maintained for low retrieval records which are not currently in active use, for deceased patients and items that will not be scanned and manage the destruction of these records in accordance with the Records Management Policy.

The Health Records Service will operate from one central library location with secondary low retrieval storage at other Trust locations and will provide a central point for the return of patient records which will be sent to scanning. The Service will provide the trust with a quality assurance function in support of records scanning this will review and assess the quality of scanned images and authorise destruction of scanned records.

Qualifications

  • Education to GCSE level or equivalent including Mathematics and English
  • Computer skill qualification
  • Customer Service or Administration such as an NVQ

Knowledge, Training & Experience

  • Experience of working in a Reception or administrative role preferably in a health care environment
  • Previous experience of data entry/input
  • Working knowledge of Microsoft Office i.e. Outlook, Word, Excel

  • Understanding of confidentiality, data Protection and Caldicott Principles.
  • Able to recognise and resolve routine issues referring to a Team Leader/ Manager, where appropriate

  • Ability to work to deadline and prioritise own work load
  • Ability to work on own unsupervised.
  • Adaptability and flexibility
  • Flexible approach to working patterns including weekends and bank holidays if necessary.
