Job overview
This is a varied and fast paced role providing all aspects of administrative support to the NHS Individualised Commissioning Team which includes the nursing team, senior managers and other areas of the Directorate.
Due to the nature of the team the post holder will be required to work in a professional and sensitive manner. They would be required to deal with in coming calls from patients , family members, carers or other health professionals which may on occasion be distressing.
Main duties of the job
To provide administration support to the team the post holder will be:
- Responsible for arranging meetings including sending meeting invites, room bookings and recording notes as and when required.
- Able to populate template letters and other general correspondence in a professional and timely manner using the appropriate software packages.
- Responsible for maintaining accurate and up to date patient records on the digital referral and case management system
- Able to use their knowledge sign post members of the public and professionals to appropriate services.
- Accurately code invoices for authorisation. Liaise with service providers and other stakeholders as appropriate to resolve queries without delay
- Responsible for creating or amending meeting room diary bookings for the team.
- Responsible for uploading of patient information on to the digital platform.
- Responsible for completing checks to on behalf of the service to ensure appropriate responsible commissioner for each case

Detailed job description and main responsibilities
The post holder will:
- Respond to calls and emails enquiries requesting information or assistance from external and internal channels in a professional and helpful manner, signposting appropriately.
- Distribute letters and other correspondence as required, securely and in line with information governance protocols.
- Be responsible for ensuring the digital system has accurate patient demographic information.
- Be required to take informal notes of internal meetings as required.
- Deal sensitively with service user details of a highly personal nature, avoiding breaches of confidentiality at all times.
- Ensure the data recording system has the correct financial codes to ensure that the locality is acting within the GMICB scheme of delegation.
- Be required to cover the administrative duties of other team member/s when they are on annual leave or sick leave.

Essential criteria
- Educated to GCSE Level
- Previous Administrative Experience
- Knowledge of IT Systems such as MS Word / Excel / Outlook
- Good understanding of confidentiality and data protection
Desirable criteria
- Knowledge of Continuing Health Care and NHS-funded Nursing Care processes
- Previous NHS Experience
Has relevant experience
