Job overview

The post holder will be part of an Administrative team whose responsibilities are to support the clinical services within the radiology department in managing the daily demand and to effectively prioritise incoming referrals into urgent and non-urgent.

The post holder will act as a Patient flow coordinator to Radiology Department, to provide supports to the on calls, legal enquires such as Freedom of Information requests when required and provide an effective, efficient appointment service to the department and the Trust.

Main duties of the job

  • Act as the Patient flow coordinator for the department by acting as the guidance for telephone enquiries coming through to the Radiologist of the Day phone-line
  • Assess the nature of the incoming call to determine whether they require immediate attention from a radiologist.
  • Enter patient information onto Soliton and add to the waiting list upon arrival.
  • Register new patients on Cerner and crosscheck the demographic information with SPINE for accurate details.
  • Answer the telephone in a polite and friendly manner. To deal with all requests/enquiries in an appropriate manner.  
  • Responsible for ensuring appropriate and timely responses are made for requests under the FOI.
  • The post holder will be expected to work in a pro-active manner across the Trust.
  • Communicate directly with patients in the department who have any queries regarding their procedure or appointment.
  • To keep up to date with technology developments with regard to developing appropriate skills in the use of modern technology.
  • Any other business as required by the Radiology Admin Manager.

Essential criteria
  • Experience Previous clerical experience in an Hospital or Community is essential in a healthcare environment
  • Spoken and written English to a high standard
  • Experience using Patient Information Systems
  • Managing non-routine appointment queries
  • Computer literate inclusive of Microsoft office applications
  • Ability to work quickly and efficiently to a consistently high standard
  • Ability to follow procedures and policies
  • A self-motivated individual with the ability to relate well to clinicians and other members of staff
  • Knowledge of Microsoft word and Excel
  • Knowledge of medical terminology
Desirable criteria
  • Previous clerical experience within a Radiology Department
  • Receptionist manging a reception area
  • Knowledge of specialist waiting times and targets
  • Knowledge of current computer system. i.e Cerner, IEP, Soliton and PACS
  • To have a good working knowledge of MR Department and scans performed
  • Ability to relate patient care relevant to the running of the department
