Job overview

We currently have an exciting opportunity to join our ENT Department as a full time Medical Secretary. The post provides an excellent opportunity to further your career as a healthcare administrator, working within a thriving surgical service.

We are looking for someone with good experience within the NHS, who is enthusiastic and willing to learn. You will need to have excellent communication skills and be able to demonstrate that you can work strongly within a team. You will need to liaise with patients of all ages, clinicians at all levels and managers within the Trust and at external organisations. Time management skills are also essential as you will need to balance the demands of a very busy workload.

The  ENT department provides excellent patient care and positive patient experiences, always reflecting the trust values.

 

Main duties of the job

To ensure the provision of comprehensive secretarial and administrative support at a senior level to Consultants and clinical teams within the department.

To identify the most appropriate layout of complex documents, eg reports, minutes of meetings, on the word processor and to maintain an organised file management system.

To be responsible for the identification of any problems with the functionality and turnaround time of the off site transcription service, and to raise this with the Speciality Manager.

Essential criteria
  • Good general education including GSCE in Maths or English (or equivalent)
  • Typing 60 WPM
Desirable criteria
  • AMSPAR Diploma (or equivalent business and admin NVQ)
  • Customer Care course (or equivalent experience)
  • Minute taking

Experience

Essential criteria
  • secretarial / administration experience
  • Experience of working within a hospital
  • Experience in establishing/maintaining robust office systems
Desirable criteria
  • Experience of working in a multi cultural environment

Skills

Essential criteria
  • Ability to work unsupervised
  • Computer/word processing skills including use of email (eg ability to create directories, documents, mail merge, etc.)
  • Excellent communication and interpersonal skills
