Job overview

We have an exciting opportunity for a part time PA to join the Symptom Control and Palliative Care team at The Royal Marsden in Sutton.  The role is PA to the Clinical Lead Consultant, Divisional Medical Director and Matron, but also supports the wider clinical team.

This role is central point of contact for the service in Sutton liaising with internal and external health professionals as well as patients and their relatives.  The role manages complex diaries, provides minutes for several departmental meetings, prepares weekly multidisciplinary meetings, books patients attending its outpatient clinic, and maintains the on call rota and roster.  The ability to prioritise and organise a busy workload while dealing with queries from clinicians and patients is essential.

The successful applicant will have good communication skills, experience of managing complex diaries and be confident communicating within a multidisciplinary team and with patients.

Applicants are expected to have excellent IT skills and to demonstrate an ability to deal with confidential information.

This role is part time, Wednesdays and Thursdays working 9am to 5pm.

Main duties of the job

The post holder will be responsible for the provision of a comprehensive PA. service to the Lead Consultant/CBU Clinical Lead and other senior clinical colleagues and will be required to cover a wide range of duties incorporating diary management and the co-ordination of clinical, administrative and academic work. He/she will liaise with all colleagues within the multidisciplinary team, and with internal departments and external agencies to ensure the continuity of patient treatment. This job description may be developed over time to meet the specific needs of the Unit in conjunction with the post holder.

  • To ensure that stationery and office equipment is used efficiently, and that any needs are brought to the attention of the appropriate manager.
  •  To administer donations relating to charitable funds and the Consultant’s research account, in liaison with the Finance Department and in accordance with Standing Financial Instructions.
  •  To attend secretarial team meetings, bring serious problems to the attention of management.
  • To take minutes at meetings as required, and to keep records of Consultant and junior medical staff leave.
  •  To prepare lecture notes and slides for presentations, and type research papers as required.
  • To monitor the turnaround time of clinical correspondence produced by the consultant firm in line with management requirements. 

Person specification

Education/Qualifications

Essential criteria
  • Good general education, educated to GCSE level or equivalent
  • Competent at Microsoft Excel, Word and Outlook
Desirable criteria
  • AMSPAR qualified or equivalent.
  • European Computer Driving License (ECDL) or Equivalent

Experience

Essential criteria
  • Substantial previous medical secretarial experience.
  • Previous experience of training other secretarial staff.
Desirable criteria
  • Experience of diary management.
  • Previous experience of managing/ supervising staff management

Skills Abilities/knowledge

Essential criteria
  • Audio typing skills (60 wpm min.).
  • Understanding of medical terminology
  • The ability to communicate effectively in both written and spoken English to a wide range of people.
  • Willingness and demonstrable ability to work as part of a team
  • Evidence of ability and initiative to prioritise a busy workload
  • Evidence of ability to work without close supervision
  • Evidence of ability to handle sensitive information without compromising confidentiality
