Job overview

An exciting opportunity has arisen for a SSNAP administrator to join the Community Rehab Service on a fixed term basis (Secondment if applicant is internal to NELFT).  The successful applicant will play an integral part in the development of the Sentinel Stroke National Audit Programme (SSNAP), across Havering and Barking and Dagenham.

The Community Rehab Service is a well-established multi-disciplinary therapy team working with individuals with a range of progressive or acquired neurological conditions.

Main duties of the job

The successful applicant will provide a responsive, comprehensive and high-quality administrative service to support the Community Rehab Service / Managers / Team SSNAP Lead in managing SSNAP data efficiently.

They will be competent with all the features and functionality within the stroke SSNAP system and be able to run ad hoc reports from the database as and when necessary and check statistics.

They will be able to abstract and analyse patient records: use judgement to translate cases where the procedure/ condition is not readily codable. Seek advice as required to assist in the interpretation of records to ensure accuracy.

The successful applicant must be highly organised to handle multiple deadlines and priorities and deal with frequent interruptions.

Starting with NELFT

NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust.  All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment.  As part of the process new starters will have the opportunity to also meet the executive team, senior managers and attend a number of drop in sessions focussing in engagement, health and wellbeing and key processes.  The induction will be held at our head office in Rainham, Essex.

High Cost Area Supplement - Outer London

This post also attracts payment for High Cost Area Supplement of 15% of the basic salary (with a minimum of £4,313 to a maximum of £5,436 p.a. pro rata for part time).

Detailed job description and main responsibilities

Key responsibilities:

  • To provide professional, comprehensive and efficient management of collection and entering of SSNAP data for local Community Rehab Service, with a clear understanding of confidentiality, discretion and sensitivity. 
  • To be responsible for the organization of the SSNAP and local systems and administrative processes. 
  • To ensure maintenance of records and the distribution of relevant information including activity data. 
  • To ensure that the flow of information from the Community Rehab Service to the SSNAP data system is dealt with in an effective and timely manner.
  • To refer issues to other relevant parties as appropriate, ensuring confidentiality and security of information is maintained at all times. 
  • To input data sets into the SSNAP database, ensure accurate recording of patient details relevant to the SSNAP domains.
  • To prepare and collate highly sensitive information for reports and assessments.
  • The postholder may also be given lead areas of responsibility to oversee consistency and quality in that area. Any such roles will be agreed with management. 
  • The postholder will be expected to have good communication skills and be able to communicate effectively both verbally and written, with clinical colleagues, management teams, patients and outside agencies such as acute local hospitals, as and when necessary. 
  • To liaise with other services SSNAP administrators to ensure smooth transition of patient records

·       To communicate with patients and carers via telephone, ensuring that complex calls are dealt with effectively and appropriately.

Qualifications

Essential criteria
  • NVQ level 2 or equivalent standard of literacy and numeracy
  • NVQ level 3 in relevant subject or equivalent level of proven experience
  • RSA Text and Word Processing Level 2

Experience

  • Working in a busy office environment
  • Creating, maintaining and reporting using a variety of data platforms
  • Working autonomously
  • Ability to update and develop effective admin processes
  • Ability to manage non-routine issues e.g. when information is missing, systems are not working, files not closed down from the acute setting
  • To use experience and knowledge of SSNAP and RIO to identify more efficient processes for information gathering/report pulling and completing SSNAP
  • Ability to follow organisational policies and procedures
Desirable criteria
  • Working with patient electronic records
  • Working in an NHS environment

Knowledge

Essential criteria
  • An awareness of SSNAP
  • Demonstrate a knowledge of therapy, medical and IT terms needed to gather relevant information and use the relevant systems required for SSNAP
  • In depth working knowledge of Outlook, Word, Excel, Power point
  • Awareness and adherence of confidentiality and policies and procedures related to this.
  • Able to analyse systems to improve services
  • Knowledge of office process
