Job Summary 
The post holder will work across clinical locations with Automated Dispensing Cabinets (ADCs) to deliver 
patient care. The Clinical Pharmacy Technician - Ward Omnicell System Administration Lead post is 
responsible for the maintenance and clinical optimisation of Automated Dispensing Cabinets (ADCs) in order 
to ensure the safe, efficient and timely distribution of medication to patients. 
The post holder is responsible for leading the delivery of a robust training programme in line with the Trusts’ 
nursing and pharmacy Omnicell training strategy. The post holder is also responsible for the development 
and maintenance of ongoing compliance and performance reports using MedX, Omnicentre and EPIC 
generated reports. These reports will be used to inform Key Performance Indicators (KPI’s) for managing 
system performance and user compliance for sharing at a wide range of nursing and pharmacy forums 
In addition, the Clinical Pharmacy Technician – Ward Omnicell System Administration Lead is responsible 
for the day to day server management and catalogue management ensuring the Omnicell system is reflective 
of actual activity and mirrors EPIC inventories both in pharmacy and for locations with ADCs.  
The post holder will be accountable to the Chief Pharmacist on all matters relating to the Omnicell systems.  
The post holder will manage the KFM IT Support Officer post.

Main duties of the job

To provide a clinical service to patients across Automated Dispensing Cabinet (ADC) locations supporting 
the medicines management. 

To apply sound professional judgment to issues related to medicines use as required in conjunction with 
relevant senior pharmacists.

help ensure patient safety, decrease likelihood of missed doses and to assist with efficient workflows for 
nursing and medical staff 
To be responsible for maintaining the day to day running of Omnicells at both hospital sites ensuring any 
hardware or software issues are dealt with in a timely manner

Detailed job description and main responsibilities

Omnicell System Administration and Clinical Area Optimisation 
 Post holder is responsible for ensuring consistent clinical area ADC optimisation is undertaken so as to 
help ensure patient safety, decrease likelihood of missed doses and to assist with efficient workflows for 
nursing and medical staff 
 To be responsible for maintaining the day to day running of Omnicells at both hospital sites ensuring any 
hardware or software issues are dealt with in a timely manner 
 To be responsible for checking the server each day to ensure all Omnicells are connected and working 
appropriately 
 To assist pharmacy and nursing teams to investigate Omnicell CD stock discrepancies 
 To lead on investigating and closing any  Omnicell related  Inphases or Inphases where Omnicell reports 
are required to assist with the investigation 
 To process all stock list amendments and ensure that the EPIC inventory is updated thereby aiding the 
safe and secure ordering of medicines. This can include multiple stock list amendments at once that may 
be time sensitive. 
 To work with the Procurement and Distribution Team to  co-ordinate Omnicell bin  reconfigurations forline 
changes including pack size changes , stock list amendments and   large scale contract updates 
 To maintain and develop a master product file on the Omnicell server ensuring drug level mapping is 
correct and in line with the EPIC and Robot catalogues  
 To review and amend PAR, re-order and critical levels for CD and non CD lines at the request of principal 
pharmacists or as part of regularly, planned stock optimisations 
 To contribute to the delivery of projects around the improvement and or the expansion of the number of 
Omnicells 
 To ensure that business continuity plans are maintained and up to date in the event of system and or 
server failures 
 To provide regular audits on the systems, identifying issues and resolving or escalating at the appropriate 
pharmacy and or nursing forums 
 To resolve operational issues with end users, external & internal stakeholders as required, making 
recommendations where there is no precedent, resolving conflict where necessary. This may include 
issues with the server.  
 To delegate appropriately to the wider pharmacy team at either of the hospital sites when widespread 
changes are required  
 To work collaboratively with the Procurement and Distribution Team to ensure product barcodes are 
assigned for all Omnicell items 
 To work with the Data Lead Pharmacist on the Development of the Trusts’ Data Performance Centre, 
undertaking any UAT that may be required  
Pharmacy Procurement and Distribution 
 To support the Procurement and Distribution Team operationally as deemed appropriate by the Lead 
Pharmacy Technician or Pharmacist – Procurement and Distribution 
 To deputise for the Pharmacy Procurement and Distribution lead for all Omnicell Related tasks in their 
absence as deemed  
 To ensure all appropriate Procurement and Distribution and Pharmacy Staff are trained in the 
necessary components of Omnicell System Administration and Clinical Area Optimisation to ensure 
service continuity in the absence of post-holder. 
 To work as a Senior Procurement and Distribution Pharmacy Technician/ as part of the weekend 
service 
 To work collaboratively with the Pharmacy Procurement and Distribution Team and the Clinical 
Pharmacy teams to optimise stock lists 
 To develop and contribute to Omnicell focused KPIs to highlight areas of focus  
 To work closely with the Operational and Procurement Pharmacy Technician in ensuring clinical area 
optimisation is undertaken and reported on a cyclical basis 
Technical Support 
 To troubleshoot issues related to ADC’s.  If issues cannot be resolved remotely, a site visit must be 
undertaken 
 To manage the Pharmacy Omnicell support staff who is responsible for hardware issues 
 To Co-ordinate the annual Preventative Maintenance of cabinets undertaken by the Omnicell and 
pharmacy Omnicell support staff 
 To advise the Pharmacy Emergency Planning team, Trusts Tactical team and or pharmacy site lead of 
the appropriate contingency plans in the event of scheduled or unplanned Omnicell downtimes  
 Liaising with IT for Server upgrades, migrations or issues 
 To be responsible for server restarts, where warranted  
 To be responsible for managing the various Omnicell shared email inboxes 
 To be responsible for timely management of incidences raised via the KFM incident portal 
 To troubleshoot issues from staff both in and outside of the department relating to ADC systems 
Reporting 
 To be responsible for reporting Omnicell and MedX related issues to Omnicell via the helpdesk, recording 
the tickets centrally and managing the follow up 
 To be responsible for collating and distributing ward adherence reports both in and outside the 
department. This may be done using the Omnicell Web based reporting interface (MedX) 
 To synthesise and analyse qualitative and quantitative data, complex facts and situations, and sometimes 
conflicting evidence in order to provide options and solutions. 
 To record and collate all relevant data to enable the reporting of KPIs  
 To lead/assist on audits 
 To provide any Omnicell related reports to the department and trust in a timely manner 
Financial/Resource Management 
 To provide advice to the Finance Directorate on the interpretation of Omnicell derived data 
 To provide advice to the Finance Directorate on the interpretation of Omnicell data 
 To constantly strive for value for money and greater efficiency in the use of resources and ensure that 
they operate in recurrent financial balance year on year. 
 To provide efficiency and return on investment updates when required in whatever format is requested 
 To input into the development of business cases for further ADCs as appropriate. To support the 
Associate Chief Technician for Procurement & Distribution in monitoring drug expenditure across ward 
areas, implementing changes / policies to control expenditure as required.  
 Develop ADC top-up rota and review on a constant basis to ensure omnicells are resupplied in a 
resource effective manner. 
 To help infer frequency of cycle counting to ensure effective use of pharmacy staffing resource  
 To ensure cycle counting is adhered to by all trained pharmacy staff involved to ensure accuracy of 
EPIC generated orders 
Information management 
 To participate in the general development of the departments IT infrastructure 
 To ensure there are effective systems of governance within function and role.  
 To ensure that data used to support service improvement has the appropriate checks before being used 
and ensure that any data quality issues are fed back via the appropriate channels 
 To communicate clearly the information requirements of projects and use analytical skills to articulate 
requirements and present end product as needed 
Staff management and training 
 To be the lead support to all system Super Users including providing training, mentoring and system skill 
development. 
 To work collaboratively with the Procurement and Distribution teams at both sites, to train the Supply 
Chain (KFM) staff who are responsible for delivery and put away of the items to be stocked into Omnicells 
 To develop and maintain training materials and training rotas for the purpose of training staff on the safe 
and effective use of pharmacy Omnicell cabinets 
 To ensure all associated Standard Operating Procedures (SOPs) are up to date and are periodically 
reviewed and updated 
 To line manage the pharmacy support staff, including the delegation of appropriate tasks 
 To support the education and training of staff within the Medicines Distribution & Automated Ward 
cabinets Service 
 To be responsible for adding new users to the system and also responsible for removing staff who have 
left the Trust both in a timely manner. 
 To actively participate in any training necessary to acquire the necessary skill to assist in the configuration 
and maintenance of the department’s server, database and automated dispensing cabinets 
 To be a line manager if departmental needs require so 
 To assist with the management of the pharmacy Procurement and Distribution team including covering 
for the advanced technician for stores and distribution in their absence. Roles associated with covering 
include but are not limited to the following: 
 Maintaining the cycle count rota 
 Liaising with KFM to ensure portering runs are carried out efficiently  
 Co-ordinating drug recalls  
 To respond to and enacting any stock list change requests as appropriate  
 To be responsible, with management support, for your own personal development and to actively 
contribute to the development of colleagues.
