Job overview

An opportunity has arisen for a Medical Workforce Officer to work in our Medical Workforce Team at Chelsea and Westminster Hospital NHS Foundation Trust.

We're looking for a team member who has:

  • Ability to build strong relationships with senior managers and medics 
  • Experience of having responsibility for a large staff group or department from an HR/ Administrative perspective 
  • Experience of day to day supervision of a member of staff 
  • very organised and has demonstrable administration and support skills, managing conflicting priorities at the same time
  • has great people skills with a background working in a professional or customer services environment, who can work with a wide range of stakeholders effectively
  • has excellent written and verbal communication, a demonstrable ability to write and communicate clearly to candidates and stakeholders, as well as the ability to escalate and communicate risks in a timely manner
  • has demonstrable experience and understanding of handling sensitive information, keeping a high level of diplomacy and confidentiality with strong attention to detail
  • has an understanding of doctors in training rotations
  • has previous experience of working with NHS Medical & Dental national terms and conditions, although this is desirable, along with a good working knowledge of Trac, NHS Jobs and ESR (Employee Staff Record)

Main duties of the job

In this role you will responsible for providing effective and responsive advisory and administration service within the medical workforce team, a specialist service aiming to provide high quality expert advice for doctors and dentists

This will include:

  • being the first point of contact for all doctors and dentists queries
  • ensuring an effective, consistent HR service is delivered to all junior doctors, SAS doctors and consultants 
  • managing the administration of each junior doctors rotation throughout the year
  • managing the on-boarding process; For all doctors and dentists; to include Right to Work checks, Referencing, Occupational Health, DBS checks
  • Ensure that all vacant positions are recruited to

Essential criteria
  • Educated to Degree level education or equivalent relevant training or working experience at a similar level.
Desirable criteria
  • CIPD Level 3 or 5 or willing & able to study towards it

Experience

Essential criteria
  • Previous experience working in the NHS and/or a recruitment environment
  • Experience of high volume administrative work
  • Proven track record of multi-tasking in order to meet a variety of often conflicting deadlines
  • Experience of using ESR/Trac/ NHS jobs
  • Experience of training team members on team processes
Desirable criteria
  • Experience working in medical workforce
  • Experience of reviewing policies
  • Experience of delivering training

Skills and Knowledge

Essential criteria
  • Excellent organisational skills and prioritisation skills
  • Ability to communicate clearly and with confidence to a range of audiences both orally and in writing
  • Analytical and problem solving skills and the ability to respond appropriately to sudden and unexpected demands
  • Ability to make decisions and to act on own initiative but refer to Senior staff when necessary
  • Effective IT Skills, proficient with Microsoft and recruitment database software
  • Working Knowledge of NHS Employment checks standards
  • Working knowledge and understanding of ESR
  • Able to produce and collate information and to maintain manual and computerised records
  • Thorough understanding of the importance of confidentiality, data protection and information governance.
