Job Planning Support Officer – Allied Health Professionals

Job overview

An exciting opportunity has become available to work with the Allied Health Professionals Leadership team for a Band 5 Job Planning Officer for 6 months. This role is crucial to fulfilling the various requirements for AHP Digital Job Planning.

The successful candidate will be organised, with excellent interpersonal skills and the ability to communicate effectively with a wide range of people. They will be experienced administrators with excellent working knowledge of Microsoft Office Package as well as have experience working with job planning software. Experience of handling confidential information is important.

Main duties of the job

  • To work with minimal supervision, using own judgement to take instant decisions and to be accountable for own actions
  • Be responsible for maintaining and developing administrative processes to support the job planning process across the Trust
  • To take joint responsibility for the smooth operation of the job planning processes and projects, including providing a range of administrative support duties
  • This job requires the post holder to communicate frequently with a wide range of professionals (internal and external to the organisation) and therefore experience and an understanding of dealing with complex, confidential, and sensitive information are required, using tact, persuasion and negotiating skills.

Education/Qualification

Essential criteria
  • Educated to Degree level or equivalent knowledge or experience
  • Excellent education including Math & English at GCSE or equivalent experience
  • Evidence of continuous professional development
Desirable criteria
  • HR qualification (CIPD) or practical experience
  • Experience in Project Management

Skills and Experience

Essential criteria
  • Proven technical ability in data cleansing, analysis, solving data problems, automating reports, pivoting and manipulation of dashboards.
  • Experience of working successful and achieving deadlines/objectives while under pressure of resource, maintaining accuracy and good working relationships
  • Able to make decisions and act on own initiative but refer to senior staff when necessary
  • Excellent interpersonal skills with the ability to communicate and present information, including complex information to a non-technical audience, both orally and in writing.
  • Demonstrate experience in delivering high-quality project support using a range of software and tools to aid productivity.
  • Highly developed communication skills (written, oral, presentational, and interpersonal)
  • Effective problem-solving skills and the ability to demonstrate good negotiating skills.
  • Literate in range of computerised software particularly with Allocate Job Planning Software, MS Outlook, Word, Excel (or equivalent), PowerPoint and relevant IT systems.
  • Ability to work under pressure, be able to prioritise and work to tight deadlines ensuring competing demands are met.
  • Ability to work autonomously with/without limited guidance
  • Good telephone etiquette

Knowledge & Experience

Essential criteria
  • Good understanding of the AHP Job Planning process
  • Advanced Excel skills
  • Experience of using e-job planning software
  • Experience of working with clinicians and clinical and non-clinical managers
  • Specialist knowledge across range of procedures, underpinned by theory Knowledge of business case procedures and project principles.
  • Experience of working with a diverse range of stakeholders including a successful tack record of influence and engagement
  • Experiences in working electronic (HR) systems and databases
  • Experience of drafting reports and support materials
  • Experience of delivering training – one-to-one or group settings
Desirable criteria
  • Experience of using e-rostering software

Essential criteria
  • Proactive approach to leading and monitoring projects. Including working as part of a team and on own initiative.
  • High level of work organisation, self-motivation, drive for performance and improvement, and flexibility in approach and attitude
  • Experience of supporting Senior Managers Able to support and negotiate sensitive and confidential matters
