Job overview

Due to expansion of our catering services, Modernization and reconfiguration of the catering Departments  we are now looking for additional colleague to join our existing team .

Band 3 Administration Assistant   – 37.5hrs ( Mon – Fri 9am-5pm) may include some  Occasional trust wide working 

Administration Assistant–  You will be required to carry out general admin duties required by the service  consisting  of  using Divisional IT systems, including Collating , imputing data and reviewing data in line with trust policies and procedures and IT policy. You will be required to assist with monthly Stocktaking  and data entry onto the required system.  

 Completing daily data record sheets as required and other comparable tasks as directed by the Catering Manager and other department managers & supervisors .

 

Main duties of the job

The role of the Administration Assistant -    To assist with the preparation and production of documentation associated with any  Maintenance Contracts/Agreements undertaken by the Service in relation to catering..   

   Undertake the raising of requisitions for the main kitchens, restaurants, shop, café and snack bars, but also the organisation of orders for catering or facilities as requested.

 To assist with the monthly stocktaking data entry onto the required system.   Liaison with the Wards and clinical areas in respect to the patient feeding menus.

Ensure any discrepancies are undertaken and resolved promptly.

May be required to travel to the other Trust catering departments, when requested

Be able to work as part of a team and assist each other to be sure duties are fulfilled in a safe and timely manner. 

Adheres to departmental sickness and absence reporting procedures and complete mandatory training. 

Completes any log sheets associated with departmental hygiene control systems.

Observes Health & Safety procedures at all times.

Appear for duty on time.

Maintains a high standard of personal hygiene

To observe departmental/Trust policies on Fire, Health & Safety at Work, COSHH (Control of Substances Hazardous to Health) and Accident Reporting.

To undertake any duties as may be required.

Qualifications

Essential criteria
  • • GCSE Grade C English GCSE Grade C Maths / Language or equivalent
  • • ECDL or equivalent
  • • NVQ business support level 3 (work towards) Or relevant experience

Previous Experience

Essential criteria
  • • Practical experience of a multifunction busy office environment
  • • Demonstrable evidence of undertaking a range of functions (and specific tasks) comparable with job description
  • • Experience of working in an office environment both as an individual and team member
  • • Evidence of use of office based computer
Desirable criteria
  • • Work in an NHS or customer service focused setting and operating a reception point

Knowledge of particular Knowledge, skills , aptitudes
