JOB TITLE:  Receptionist

DEPARTMENT: Reception

LOCATION/BASE ADDRESS: Peter Hodgkinson Centre, Greetwell Road, Lincoln LN2 5UA

BAND AND SALARY: Band 2

NUMBER OF HOURS:  50 hours per month

The hours are on a two week rota:

Week 1 – Wednesday to Friday 8:00 to 13:00

Week 2 – Monday and Tuesday 8:00 to 13:00

 

Main duties of the job

The successful candidate must be able to work as part of a team and be able to confidently deal with telephone calls and visitors who will include external agencies and senior managers. They must greet people in a friendly, confident and professional manner both at the desk and on the phone, showing empathy, kindness and professionalism at all times.

 A flexible approach and the ability to work under pressure in a busy reception office are essential.

 A willingness to learn and develop within this role is also important. The need to facilitate the smooth and effective running of the reception demonstrating a discrete and sensitive manner.

You will be enthusiastic with good organisational and communication skills.

You must be able to deal objectively and professionally in a calm and approachable manner when liaising with service users, staff, healthcare professionals and outside agencies prioritising your work accordingly.

Detailed job description and main responsibilities

To provide a welcoming and professional reception to the service and to ensure both telephone and personal enquiries are dealt with in a polite, confidential and efficient manner.

To provide a full and efficient clerical service to the clinical staff and admin team including dealing with incoming mail, the inputting and extraction of performance and information data and assisting with routine typing tasks.

To respond to queries and incoming calls on a daily basis, which may be non-routine and can sometimes involve information of emotional and distressing circumstances, ensuring prompt attention in a professional and sensitive manner, assessing situations and seeking further information/support where required.

To ensure patient and staff confidentiality is maintained at all times adhering to Trust and national policy regarding same.

To manage workload under supervision, seeking advice when required, performing routine office procedures . The routine office procedures to include the opening and distribution of correspondence, dealing with outgoing post, photocopying, filing and faxing in accordance with current trust procedures. Booking rooms for other departments.

To have a thorough working knowledge of electronic systems including email, SHARON, Clinical systems and Datix and to update these systems in a timely and accurate manner and in accordance with Trust policy.

To maintain healthcare records including the scanning of documentation within the area of responsibility including the compilation of records for new patients, filing, archiving and using the tracer system in accordance with the Trust Records Management Policy.

To participate in Supervision and appraisal in line with Trust policy.

To ensure all work is undertaken in line with Trust and national policy.

To recognise the need for flexibility and be willing to undertake extra duties as and when required that are commensurate with the grade and responsibilities of the post including providing cover for other admin staff within the service, across the county.  

To participate in the provision of an extended hour’s service.

Person specification

Qualifications

Essential criteria
  • NVQ 2 or equivalent
  • GCSE English Grade C or above or Grade 4 or above
  • Word processing/IT skills
  • Conversant with Microsoft Office, particularly Word/Excel/PowerPoint/electronic diary management

Experience

Essential criteria
  • Has worked in a busy office environment
Desirable criteria
  • Knowledge of Trust database systems
