An opportunity has arisen for an enthusiastic Administrative Assistant/Receptionist to join our friendly team in Ophthalmology at Boston House.   

Wigan Eye Unit has 4 Consultant Ophthalmologists along with their medical and practitioner teams. It is a modern and well equipped dedicated eye unit.  Wigan Eye Unit is open 6 days a week, with some evening clinics and covers more than one site. This post is 37.5 hours per week, Monday-Friday. 

The post holder may be required to work occasional weekends.

 

Main duties of the job

The post holder will be part of a multi-disciplinary team providing an effective high quality Ophthalmology Service. The post holder will be responsible for booking and managing the various clinics including Urgent Referral Clinic, Macular Clinics and Orthoptic clinics within Ophthalmology.

Detailed job description and main responsibilities

  • Support the functions of the reception desk and various clinics in Boston House.  This will include booking patients into clinics, making appointments, ensuring calls and enquiries are dealt with in a timely and professional manner.
  • Undertake clerical duties: data inputting, photocopying, fax/emailing, collation of various documents and prioritise activities effectively.
  • Monitor and order adequate supplies of stationary as required by the ophthalmology department.
  • Monitor the use of equipment and ensure any faults and breakdowns are reported to the appropriate department.
  • Attend staff meetings
  • Participate in the organisation of in house learning and development events/courses.
  • To recognise that this job description is not exhaustive and the post holder must maintain a flexible approach towards assisting in the general smooth running of the ophthalmology department, especially in times of absence (ie annual and sickness leave)

Qualifications

Essential criteria
  • A Good General Education to GCSE Level Standard or Equivalent. (A-C grades) to include Maths and English.
Desirable criteria
  • ECDL (or equivalent)

Experience

Essential criteria
  • Experience/knowledge of admin duties, responsible and organised, dealing with the public, teamworking
Desirable criteria
  • Experience working in a hospital setting

Skil

Essential criteria
  • Effective time management and prioritization skills; Good interpersonal and communication skills; Able to demonstrate a positive attitude and caring demeanour; Ability to challenge unacceptable behaviour
Desirable criteria
  • Experience using basic computer software

Knowledge

Essential criteria
  • Knowledge of clerical systems

  • Knowledge of NHS clerical systems
