Job overview

An exciting opportunity has arisen in the Digital Services Department for an enthusiastic, self-motivated individual for the post of Administration Assistant.

The post holder will provide a comprehensive administration and information service within Digital Services, coordinating their activities with other members of the Administration Team and wider departmental team to ensure an efficient service is provided.  The post holder will be expected to use their own initiative.

The post holder will provide administration support and day-to-day support for the Digital Services department and will work flexibly in response to the needs of the department. Post holders will have a range of duties including meeting and diary management.

In addition, the post holder will be required to arrange and administrate meetings, events, workshops, etc. on a regular basis.  This will include booking rooms, preparation of agendas, taking minutes/notes, collation and distribution of papers and keeping records of apologies.

In the natural day-to-day operations of the Digital Department, specific responsibilities and duties of the post-holder within the role may change to meet the developing requirements of the Trust.

The individual will need excellent communication and organisational skills, and have the ability to work on your own initiative.

Detailed job description and main responsibilities

  • Provide a range of administration duties to the team/department.
  • Manage departmental meetings on a regular basis including diary room booking
  • Ensure data is inputted accurately, timely and proactively
  • Produce data reports
  • To respond to queries, dealing with routine matters and passing on more complex queries to the appropriate member of staff
  • To assist in ensuring work area is kept presentable and well organised
  • Provide day-to-day support to department where appropriate.
  • Cover the receipt, allocation and despatch of departmental mail (internal and external) when appropriate
  • Provide an administrative service to include typing of routine information such as reports, and other correspondence on behalf of the department, ensuring a high standard in accordance with Trust standards
  • To photocopy, scan, collate and distribute documents as directed
  • Work collaboratively with the appropriate management, teams and other departments to ensure that all appropriate staff are notified in case of matters of urgency and dealt with in a timely manner
  • Attend and participate in meetings as appropriate.
  • Other adhoc duties as requested.

Education/Qualifications

Essential criteria
  • NVQ Level 3 education or equivalent experience in an Administrative role

Knowledge

Essential criteria
  • Evidence of competence in Microsoft Office applications including Word and Excel
  • Demonstrable experience of working effectively in a high performing office environment and undertaking a range of administration duties

Experience
