Job overview
You will support the Contract Management Team across Lancashire and South Cumbria with the management of the contracts on behalf of Lancashire & South Cumbria ICB including supporting contract management and quality issues & activities arising across the service including minute taking, maintaining issues & risk logs, document management and filing, liaising with colleagues on meetings and priority agenda items, booking meetings and diary management. Contributing to an effective delivery strategy for contract management service for the ICB,
Main duties of the job
- Provide administrative support, for all related meetings which will include preparation, collating and distributing of agenda and related documents, minute taking, and ensuring their appropriate distribution
- Arrange and organise meetings/workshops including booking venues, equipment & managing electronic diaries as required
- Receive and progress contract variation requests through the contracts management process with appropriate contract manager lead and maintain records within the contract tracker
- Help to maintain a contract register/ database ensuring accuracy and timeliness.
- Work closely with colleagues to ensure that contractual obligations and risks are monitored and reported
- Ensure maintenance of accurate and efficient filing systems
- Maintain formal documents and records of contractual agreements and communications for audit purposes
- Maintain standard business operational procedures for the ICB contracting service to ensure that business continuity is sustained
- Deal with all telephone, email and general enquires by prioritising and ensuring appropriate messages are relayed, or relevant action is taken
- Ensure deadlines are met to produce information enabling the completion of statutory/NHS returns
- Prioritise workload as appropriate to meet the variation in demands and interruptions on the job holder’s workload

- Significant administrative/ secretarial experience including initiating and maintaining office systems
- Demonstrable experience in dealing with sensitive and confidential information

- Previously worked within a similar position
Qualifications
Essential criteria
- Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.

- ECDL Qualification
Skills
Essential criteria
- Knowledge of administrative procedures
- Highly proficient in the use of Microsoft Office – especially Outlook, Word and Excel
- Excellent communication skills (both written and oral)
- Experience of arranging complex meetings. Preparing agendas, collating meeting papers and taking minutes
- Ability to work without supervision and demonstrate initiative prioritising workload to changing and often tight deadlines
- Ability to manage large volumes of work with very fast turnaround
- Information analysis experience
- Ability to cross-site travel, across Lancashire and South Cumbria as required
