Job overview

We are looking to recruit a ward clerk with a can-do attitude to join our friendly team on Bleasdale ward. We work hard and we keep each other uplifted, making staff wellbeing a priority. Your role will be to greet patients and family members, be their first point of contact and their guide to our ward. You will also support our team with admin and be the calming voice answering our calls.

Your pleasant approach, friendly style and great communication skills really play such an important role. IT skills are necessary and knowledge of Quadramed system would be beneficial, but training will be given.

You will enhance our team to maintain the highest standards of record keeping in line with data protection have good verbal and written communication skills and be able to communicate effectively with people at all levels within the organisation.

Main duties of the job

You will provide a professional and courteous “meet and greet” service for all our staff, patients & visitors, always acting in a professional and courteous manner. Time is always of the essence, so you’ll respond to requests for information promptly and efficiently using a variety of communication methods, ensuring that customer service is prioritised. Your skills make you a great team player who will thrive in this busy but rewarding environment, ensuring information is accurate and meeting the high standards we set for ourselves.

Detailed job description and main responsibilities

  • Perform an ambassadorial role, representing Bleasdale ward “Front of House” service acting in a professional, courteous, and customer-focused manner always.
  • Answer telephone queries, take messages, direct where appropriate, meet and greet and help directing visitors within the ward.
  • Participate and contribute to developments in Customer Service provisions in line with Trust Policies.
  • Use initiative to resolve conflicts in a mutually agreeable way, alerting manager where necessary.
  • Communicate with a range of staff, users and visitors to the Trust / Department utilising a variety of communication methods including verbal, electronic and passing information in a format that is appropriate to the individual request.
  • Ordering stock for the ward using the oracle system 
  • Filling patient notes  
  • Reporting ward issues such as faulty equipment and minor works

Qualifications & Education

Essential criteria
  • Administrative skills
  • Educated to GCSE level
Desirable criteria
  • Typing Qualification to RSA level 3

Knowledge & Experience

Essential criteria
  • Current admin/clerical experience of working with the public in an NHS environment
  • Efficient use of Microsoft Office and Outlook
  • Aware of concept and application of confidentiality
  • Understanding and awareness of Quadramed system
