Job overview

To be responsible for the administrative processes to enable smooth and efficient functioning of the Enhanced MDTs and other MDTs within the CMHT and CIMHT

To enable live minute taking to take place within the MDTs to ensure decision making can be supported in real time

To support CMHT Team Managers

This is a very varied role and would suit someone who is highly motivated and capable of working on their own initiative, with a medium level of supervision.

Main duties of the job

This is an exciting opportunity for a committed individual to join the Administrative Team and assist in the smooth running of the service.

This will include:

  • Provide a range of administrative duties to the CMHT including minute taking of regular meetings, including Case Discussions (CDM), Team Business Meetings (TBM) amongst others
  • Attend departmental meetings on a regular basis
  • Respond to queries, dealing with routine matters and passing on more complex queries to the appropriate member of staff
  • Provide day to day support to clinical teams, team leader and colleagues
    Work collaboratively with the appropriate management teams and other departments and ensure that all cases are dealt with in a timely manner
    Attend and participate in team meetings and administrative service meetings as required
  • Supervising other team members, including undertaking supervision sessions and regular workbook conversations
  • General data inputting, including referrals, appointments, and discharges, ensuring data is completed accurately, timely and proactively
  • Producing letters linked to this data using Trust IT systems
  • When needed, be the first point of contact for the team or department.
  • Greeting visitors, answering telephones, taking and forwarding messages, ensuring that all telephone and personal callers receive a prompt, courteous, non-judgmental and well-informed response.

Qualifications

Essential criteria
  • NVQ Level 4 or equivalent experience
  • Good level of general education including Mathematics and English at GCSE or equivalent.

Knowledge

Essential criteria
  • Awareness of issues in the Mental Health Network.
  • Intermediate knowledge of a range of administrative procedures and practice.

Experience

Essential criteria
  • Work in an office environment
  • Working as part of a team
  • Previous experience as a Secretary/Administrator including diary management

  • Takes a pro-active approach to tasks.
  • Ability to communicate effectively at all levels using e-mail, telephone or face to face.
  • Proven experience in producing minutes.
  • Able to demonstrate skills in organising and prioritising of diaries and schedules.
