Job overview

The main duties are to provide direct PA/secretarial support to the Geriatric Consultants.  This would include liaising directly with numerous members of staff within the hospital, organising and prioritising your own workload, providing supervisory support to colleagues, diary management and offering the best support possible for our patients. 

Main duties of the job

To be responsible for the provision of a full secretarial and administrative support service to the Elderly Medicine Teams, ensuring a high standard of PA/secretarial; duties is maintained and deadlines are met.

To use initiative working autonomously within the remit of the role.

To maintain a high standard of service to meet patient needs; keep accurate, up to date records.

To support the organisation in the delivery of a seamless pathway of care.

The post holder will provide cross cover for fellow secretaries when required. 

Working for our organisation

Bolton NHS Foundation Trust is an acute hospital, serving the 9 neighbourhoods of Bolton. 

 

The Elderly Medicine Department has grown considerably over the past few years and this post is required to support the expanded consultant workforce. The secretarial team has a wealth of experience and knowledge and are very supportive. It current consists of 3 band 4 senior medical secretaries and 2 part time band 3 medical support secretaries. 

The Elderly Medicine Department cover 4 complex care wards, frailty sessions in the Emergency Department and the Same Day Emergency Care unit, as well as liaison services in cardiology, orthopaedics, surgery, virtual frailty ward and intermediate care.   There are also 3 clinics per week within the service. 

 

Detailed job description and main responsibilities

The post holder will be supporting Elderly Medicine Consultants with the administration, typing and investigation tracking of their role along with a multitude of other tasks required of the service.

The post holder will need experience of secretarial work or equivalent administration roles, typing and attention to detail.

Qualifications

Essential criteria
  • English language and maths GCSE grade C or above or equivalent qualification.
  • NVQ3/RSA Level 3 or equivalent typing and computer skills
Desirable criteria
  • Medical Secretarial AMSPAR qualification or equivalent

Experience

Essential criteria
  • Able to demonstrate experience of working with a variety of professionals.
  • Direct experience of working for Medical Consultants and other senior professionals.
Desirable criteria
  • Experience as a medical secretary in a healthcare setting.

Skills

Essential criteria
  • Excellent communication skills (written, verbal and telephone).
  • Audio transcription skills.
Desirable criteria
  • Competent use of Lorenzo, Le2.2 Patient Administration Systems or similar and Microsoft Office
